Administrative Coordinator

Today the Royal College has over 55000 members and the vision remains to advance the learning for specialist physicians to deliver the best health care for all. The Royal College partners and collaborates to lead the evolution of specialty medical education and standards; support specialist physicians learners and teams to continuously improve; and advocate for excellence in specialty medicine by supporting innovation well-being equity and person-centered care. We are a national nonprofit organization established in 1929 by a special Act of Parliament to oversee the medical education of specialists in Canada.

Reporting to the Manager Member Services the Administrative Coordinator supports the administrative functions of the Member Services Team. The Administrative Coordinator is responsible for maintaining processes and databases as well as establishing administrative processes for financial matters and correspondence. The Administrative Coordinator supports operational activities by providing a high standard of quality assurance and quality improvement interventions to ensure an optimal member experience and that the Royal College is seen as a professional cohesive and inclusive organization.

Heres an insight into your typical day-to-day:
Provides general administrative support to all aspects of the teams functioning to ensure smooth operations within the unit.
Provides a high degree of personalized professional support in response to front-line inquiries received by the Service Centre.
Stays up to date on current information regarding membership fees categories of membership and requirements for continuing professional development.
Ensures answers are accurate based on established protocols and practices.
Resolves and/or escalates/redirects to other units all inquiries including complex inquiries related to Royal College mandate as appropriate.
Maintains open communication across all units at the Royal College acting as a conduit for member feedback particularly as it relates to existing programs.
Ensures all entries adhere to standards for membership information files and database records.
Assists in the preparation of mail-outs as well as the preparation and production of presentation material.
Reviews invoices and creates expense reports in preparation for leadership approval.
Creates and updates databases and trackers; generates reports lists.
Prepares information / documentation for meetings including collecting and compiling background material and assembling and distributing required copies of documents.
Coordinates and contributes to various programs associated with membership (e.g. Admissions to and removal of Fellowship Affiliate categories Annual Dues process recruitment) to ensure timelines are met and tasks are completed.
Drafts written materials and correspondence to support programs as required including short reports presentation slides and other types of summary documents.

Does this sound like you
Level of education training and experience equivalent to a college diploma in a related field such as Business Administration and Health Administration.
Minimum 3 years of administrative or clerical activities.
Administrative or clerical experience in a non-profit setting
Strong Asset: Experience working in the health care system.
Organizational and time management skills to coordinate multiple priorities and meet deadlines while maintaining attention to detail. Must be able to work in a fast-paced environment which includes regular interruptions.
Strong Interpersonal and communications skills (listening verbal and written) with the ability to work under pressure as a member of a team and independently to meet deadlines.
Excellent computer skills including Microsoft Office.
Strong Asset: Written and verbal communication skills in French.
Individuals are to be onsite at the Royal College for a minimum of one day a week as there are tasks with returned mail and other mailings that need to be done onsite.

Relevant du ou de la gestionnaire Services aux membres titre de coordonnateur administratif ou de coordinatrice administrative vous appuyez les fonctions administratives de lquipe des Services aux membres. Vous tes responsable de la mise jour des processus et des bases de donnes ainsi que de ltablissement des processus administratifs pour les questions financires et la correspondance. Vous appuyez les activits oprationnelles en offrant dexcellentes interventions dassurance et damlioration de la qualit pour que lexprience des membres soit optimale et que le Collge royal soit peru comme une organisation professionnelle cohrente et inclusive.

Aperu de votre rle au quotidien
Fournir un soutien administratif gnral pour tous les aspects du fonctionnement de lquipe afin dassurer des activits sans heurt au sein de lunit.
Fournir un soutien personnalis et professionnel en rponse aux demandes de premire ligne reues par le Centre de services.
Se tenir au courant de linformation actuelle concernant les cotisations les catgories de membres et les exigences en matire de dveloppement professionnel continu.
Sassurer de lexactitude des rponses selon les pratiques et les protocoles tablis.
Rsoudre transmettre un chelon suprieur ou rediriger dautres units toutes les demandes de renseignements dont les demandes complexes lies au mandat du Collge royal le cas chant.
Maintenir une communication ouverte entre toutes les units du Collge royal en servant de point de contact pour la rtroaction des membres particulirement en ce qui a trait aux programmes existants.
Veiller ce que toutes les entres respectent les normes relatives aux dossiers dinformation et aux bases de donnes.
Aider la prparation des envois de correspondance ainsi qu la prparation et la production de prsentations.
Examiner les factures et crer des rapports de dpenses en vue de lapprobation par la haute direction.
Crer et mettre jour des bases de donnes et des traceurs; gnrer des rapports et des listes.
Prparer de linformation et de la documentation pour les runions notamment recueillir des documents dinformation et rassembler et distribuer les copies de documents.
Coordonner divers programmes lis ladhsion (obtention et retrait du titre dAssocie catgories daffiliation processus de cotisation annuelle recrutement) et y contribuer afin de respecter les dlais et daccomplir les tches.
Rdiger des documents et de la correspondance lintention des programmes selon les besoins (courts rapports diaporamas et autres types de rsums).

Ce profil vous correspond
Formation et exprience quivalentes un diplme collgial dans un domaine connexe comme ladministration des affaires et ladministration de la sant.
Minimum de 3 ans dactivits administratives ou de bureau.
Exprience administrative ou de bureau dans un milieu sans but lucratif.
Atout important : Exprience de travail dans le systme de soins de sant.
Bon sens de lorganisation et de la gestion du temps pour coordonner de multiples priorits et respecter les chances tout en prtant une attention particulire aux dtails. Capacit travailler dans un milieu de travail o le rythme est rapide et les interruptions sont rgulires.
Excellentes comptences interpersonnelles et en communication (couter parler et crire) et capacit travailler sous pression pour respecter les chances en solo ou en quipe.
Excellentes aptitudes informatiques notamment avec Microsoft Office.
Atout important : aptitudes de communication orale et crite en franais.
