Description

Hennepin County District Court invites qualified applicants for a Court Operations Associate position in the Probate/Mental Health Division assigned to Mental Health.

The Probate/Mental Health Division is made up of eleven Judicial Officers and Judicial Staff and 20 administrative staff members. Court Administration in the Probate/Mental Health Division manages approximately 5000 Probate (trusts estates and guardianship/conservatorship) cases and approximately 1500 new Civil Commitment case filings annually for Hennepin County. The Probate/Mental Health Division also manages criminal Rule 20.01 cases and calendars. This is a diverse professional environment that promotes equity for all court staff and court users. Court Operations Associates work individually and in teams using independent judgment along with available resources to perform a variety of administrative assignments that require dedication to providing excellent customer service strong attention to detail and technological skills to match our fast-paced high-volume electronic environment.

This AFSCME-represented position is classified as a Court Operations Associate. The Probate/Mental Health Division is located in the court tower of the Hennepin County Government Center (4th floor C-400) in downtown Minneapolis at 300 South Sixth Street. Typical hours for this position are 8:00 a.m. - 4:30 p.m. Monday-Friday with some flexibility based on business needs. This position is currently working primarily onsite with occasional remote work on a rotation with the teamdepending on business needs. A reliable internet connection will be required if working remotely.

  • Accurately complete administrative work by performing high level case processing and data entry work for probate cases utilizing court technology systems to assure equal access for the fair and timely resolution of cases and controversies
  • Provide excellent customer service by assisting and communicating with court users in a professional courteous and respectful manner to ensure the customers needs are effectively met at the front counter over the phone in court hearings or through electronic means
  • Coordinate communicate and collaborate on work with team members to ensure efficient and accurate case processing
  • Review and process all filings for timeliness statutory compliance and proper document security as required by local and court-wide policies and procedures

TYPICAL QUALIFICATIONS:

Below are the past experiences that will enable success in the role. For education requirements listed the equivalent number of years of related experience may serve as a substitute.

Minimum Education and Experience:

  • High school diploma or equivalent and one (1) year of relevant job experience OR equivalent amount of post-high school education and experience totaling one year.
  • Example of relevant job experience: Customer service administrative work office and clerical work.

Minimum Knowledge Skills and Abilities:

  • Team-oriented with a positive attitude and the ability to establish and maintain respectful effective relationships with the public stakeholders and court staff
  • Ability to provide a level of customer service that meets/exceeds customer expectation and satisfaction while complying with court policies and procedures
  • Reliable with the ability to meet commitments and keep work projects on task
  • Ability to multi-task maintain accuracy work well under pressure and work in a high volume fast-paced work environment
  • Ability to learn apply and explain instructions policies statutes rules procedures and systems to court partners and the general public
  • Proficient with electronic document applications such as Microsoft Office Suite Google Docs or Adobe Acrobat with the ability to learn other job-related software
  • Ability to communicate effectively verbally and in writing with attorneys court staff judicial officers and the general public
  • Ability to comply with data privacy laws and maintain confidential information
  • Ability to professionally exhibit cultural sensitivity patience and understanding in the course of work duties

Preferred Qualifications:

  • Knowledge and working experience with eFile and Serve (EFS) and Microsoft Office applications
  • Experience preparing drafting editing and proofing court orders forms correspondence and documents for electronic submission
  • Detail-oriented and analytical
  • Strong organizational skills
  • Experience providing exceptional customer service in a high volume fast-paced environment
  • Experience working closely with attorneys judicial officers and other individuals in professional roles

SALARY:

The expected starting salary range for candidates is $20.43 - $27.42 per hour ($42657 - $57252 annually). The full salary range for this position is $20.43 - $34.41 per hour ($42657 - $71848 annually). This position is non-exempt under the Fair Labor Standards Act and is eligible for State of Minnesota employee benefits
