The Intake Coordinator serves as the first point of contact for individuals seeking services providing a welcoming compassionate and organized entry into the program. They will gather and verify applicants information assess initial needs provide resources for all callers who do not qualify for NLM and ensure appropriate documentation is completed by all incoming clients.
The Administrative Assistant provides vital support to the Missions Program team by maintaining records in all the case management programs assisting with move-ins of new clients and keeping documents organized for the program team and clients.
DAY-TO-DAY RESPONSIBILITIES: Serve as the first point of contact for individuals inquiring about services from New Life Mission. Conduct intake assessments to determine eligibility and immediate needs. Collect and verify documentation including background checks. Coordinate and schedule intake appointments for in-person interviews and move-ins with appropriate staff including lead case manager and program director. Coordinate room set up for all incoming clients. Enter and maintain accurate client data in Dropbox Mission Tracker and HMIS Communicate with referral partners (e.g. shelters hospitals outreach workers law enforcement or community agencies)
INTERPERSONAL SKILLS Take ownership of assigned families and projects. Effective communication with the Program Team Maintain confidentiality and set appropriate boundaries.
TIME MANAGEMENT AND TEAMWORK Work effectively with the Program Team to support the smooth transition of individuals into the Mission. Meet all deadlines and complete intake duties promptly. Highly organized detail-oriented and skilled in multitasking in a mission-driven environment.
REQUIRED SKILLS: Smartphone knowledge and texting capabilities A heart for serving individuals experiencing homelessness and trauma. Proficient in computer applications including Microsoft Office (HMIS Outlook Word Excel Dropbox DocuSign Google Docs). Strong organizational verbal and written communication skills and ability to work well with a team. Ability to write clear concise accurate notes and other communications.
SALARY/HOURS/ETC.
Full-time position 40 hours per week primarily Monday Friday and some Saturdays
Salary dependent on work experience skillset and education
