DescriptionROLE PURPOSE:
The Warehouse & Fleet Officer will be responsible for the compliant and effective operation of Save the Childrens warehouse which includes coordinating incoming and outgoing goods and the effective inventory management of stock held in the warehouse. The Warehouse & Fleet Officer has the responsibility to coordinate vehicle & staff movements manage the fleetand cover efficiently transport needs of our programs and operations. Contribute in with the deliveryof timely effective and accountable logistics support standards in SAO.
KEY AREAS OF ACCOUNTABILITY :
- Responsible for ensuring the warehouse is compliant with all Save the Childrens policies and procedures from a Supply Chain Health & Safety and Safety & Security perspective.
- Ensuring best practice inventory management principles are applied to ensure the efficient and effective management of stock.
- Ensure all goods received in the warehouse and goods leaving the warehouse are properly recorded in accordance with Save the Childrens warehousing and inventory management systems.
- Work closely with other Supply Chain staff to ensure warehouses are available to receive purchased goods and / or facilitate the dispatch of goods to beneficiaries.
- Responsible for maintaining and updating the Total Inventory Management system and all associated records for all goods in the warehouse.
- Compile and share regular reports on stock counts within the warehouse and stock movements with stakeholders.
- Complete periodic reviews and audit of the warehouse and inventory.
- To manage any warehouse personnel (e.g. loaders forklift drivers) and be responsible for coordinating their shifts and working patterns.
- Responsible for Day-to-day management of the fleet assigned to area of operation.
- Ensure vehicles have correct equipment and sufficient fuel for the planned trip.
- Manage fuel fluids and spares stocks as needed.
- Manage fuel and maintenance contracts depending on identified needs and related fleet reports.
- Collect transport requests and complete the movement plan.
- Complete and update daily vehicle movement and service board and ensure vehicles are tracked when away from base.
- Ensure planned preventative maintenance is carried out to a high standard with minimum disruption to programme activities.
- Direct line managing of all drivers and ensuring that are briefed on and adhere to Save the Children policies and procedures.
- Ensure rental vehicles and hired drivers have an acceptable level of skills and are briefed on Save the Children policies and code of conduct.
- Ensure rented vehicles and drivers contracts are complete and correct.
- Provide procurement team all payment information for the timely payment of rental vehicles.
- Collect and analyse all fleet data and forward to Supply Chain Manager Fleet Manager Finance Departament.
- Maintain and update all required records and paperwork for vehicles and drivers; ensure that proper documentation is maintained for all aspects of vehicle operations. Ensure that log books are filled correctly and display all relevant information authorized by correct passenger and identify forms are filled for all non SC staff traveling in vehicles.
- Ensure that drivers do weekly vehicle checks of standard items as per vehicle weekly checklist and report all vehicle defects Health and security issues.
- Provide information to the Supply Chain Manager for submitting monthly vehicle performance reports.
- Provides efficient services to all staff volunteers and visitors while travelling for work.
- Track staff movements through WhastApp AtlasNXT and other modes of tracking.
- Perform any other work related duties and responsibilities that may be assigned by the Line Managers.

EXPERIENCE AND SKILLS
- 2 years minimum of specific sector work experience in a similar position.
- Graduate degree or any other equivalent qualification.
- Experience in Supply Chain in INGOs within a developmental or emergency context.
- Ability and willingness to change work practices and hours in the event of major emergencies including travelling at short notice and for extended periods.
- Experience of working in other Supply Chain Functions e.g. Warehouse Procurement Fleet Distribution etc.
- Understanding of stock and inventory management processes and procedures.
- Working experience of using online inventory management systems.
- Ability to build positive & productive relationships quickly with a wide range of stakeholders both internally and externally.
- Excellent planning management and coordination skills with the ability to organize a substantial workload comprised of complex and diverse tasks and responsibilities.
- Strong communication (written and spoken) and interpersonal skills in English.
