The Program Assistant will support the General Medicine Practice program by providing comprehensive administrative and logistical assistance. This role includes coordinating program activities facilitating communication between faculty and students managing documentation and ensuring smooth day-to-day operations of the program.
Ensure all required approvals are obtained for program-related requests as directed by the Head of Program.
Maintain accurate and up-to-date records of program activities and ensure timely data entry into relevant systems.
Manage purchasing requests for the program and coordinate with the Purchasing Department accordingly.
Receive and handle all answered exam sheets for quizzes final exams and re-sit exams ensuring proper tracking and confidentiality.
Uphold security and integrity across all program practices and assessments.
Monitor departmental correspondence receive and respond to emails and direct communications to relevant parties.
Coordinate logistics and communication with training sites and external stakeholders.
Act as the primary point of contact for program students addressing inquiries and processing their requests.
Initiate and maintain contact with external entities for potential collaboration opportunities.
Collaborate and coordinate with internal departments and college units to support program operations.
Education:
Bachelors degree in Business Administration Health Administration or a related field from a recognized university.
Skills and Competencies:
Proven ability to manage administrative tasks efficiently and with attention to detail.
Strong verbal and written communication skills.
Demonstrated commitment to diversity and inclusion.
Excellent interpersonal and relationship-building skills.
High level of organization and time management.
Strong problem-solving and troubleshooting abilities.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Fluency in both English and Arabic is preferred.
