Job Description

DESCRIPTION

THE POSITION

The Executive Personal Aide reports directly to an executive and a Chief of Staff providing professional-level administrative support as well as personal care assistance with activities of daily living. At this level both administrative support and personal care require a high level of tact confidentiality diplomacy and discretion. The Executive Personal Aide will be privy to highly confidential information and may function in politically charged environments. The Executive Personal Aide will ensure the executive has the resources needed to succeed in their role and exercises independent judgment to determine what is necessary to ensure their success. Additionally the Executive Personal Aide will represent the executive in their absence and may speak publicly and privately on their behalf.

Appointment to this position is expected to be at or below the midpoint $85572of the salary range however the final amount will be carefully determined based on the candidates knowledge skills qualifications and an evaluation of internal equity within the organization.

ABOUT COUNCILMEMBER MARY ZENDEJAS

Mary Zendejas was elected to office on Tuesday November 5 2019 and sworn into office on December 3 2019. She is the first Latina wheelchair user to be elected to office in the nation. She has never met a challenge she couldnt tackle and overcome. As an infant she was diagnosed with Polio and later in High School started using a wheelchair daily. Her passion for living and working hard is rooted in seeing her parents a field hand and factory worker provide their children a better life. Their hard work allowed Mary to go to California State University Long Beach (CSULB) and become the first in her family to graduate from college.

Her advocacy dates back nearly three decades starting in high school where she organized citizenship fairs to help community members follow their American Dream of becoming US citizens. For more information on Councilmember Zendejas and the First District please visit OF DUTIES

EXAMPLES OF DUTIES:

  • Provide executive assistance with personal care and activities of daily living including transferring and getting to/from activities of daily living.
  • Ensure physical environments are readily accessible to and usable by persons with disabilities prior to the executives arrival at meetings and engagements.
  • Support executive in the physical performance of their work by assisting with a variety of tasks including but not limited to lifting pushing pulling reaching carrying assembling/disassembling and/or preparing work-related materials and equipment.
  • Transport and/or drive executive to meetings and engagements.
  • Manage projects schedules cases and/or priorities and maintain a system for tracking work.
  • Schedule maintain and manage the executives calendar.
  • Prepare written correspondence communication meeting agendas newsletters event flyers social media posts etc.
  • Plan and execute all facets of meetings and events including venue selection booking catering etc.
  • Answer telephone calls screen callers take messages and make/return telephone calls.

REQUIREMENTS TO FILE

MINIMUM REQUIREMENTS

  • Three (3) years of administrative support directly reporting to a management or executive level position.
  • Experience as a caregiver/personal care aid and providing assistance with activities of daily living including transferring and getting to and from activities of daily living.
  • Physical ability to reach with hands and arms; climb balance stoop kneel crouch or crawl; and lift up to 50 lbs. while avoiding potential injury from transferring repositioning or lifting.
  • A valid California Drivers License is required.
  • Ability to communicate clearly tactfully and effectively orally and in writing.
  • Knowledge of effective customer techniques.
  • Strong organizational skills.

DESIRABLE QUALIFICATIONS

  • Flexibility to travel and work weekends and evenings as needed.
  • Reliable transportation is highly desirable

This position is an exempt at-will position. The incumbent will not accrue any civil service tenure or contractual employment rights in such position. The Legislative Aide is appointed by and serves at the pleasure of the Council Office and may be removed without cause.
