Job Description

Selection for interview is based on evaluation of complete application file. Hourly rate placement contingent upon verification of related WA public school experience.

This position is included in the classified staff non-supervisory bargaining unit. Union shop requirements and the Collective Bargaining Agreement apply to this position.
Employment contingent upon completion and verification of form information and background check with fee to be paid by applicant.

Pay for contracted classified employees is distributed once/month on the last business day of the month. Pay for employees who work less than full year is spread through August. Questions concerning pay processes may be directed to the Personnel Office.

Eligibility for SEBB medical dental vision life insurance AD&D and LTD if anticipated to reach 630 hours in the school year. Eligibility for retirement based on 3.50 hrs/day or more for 5 or more consecutive months. Optional tax-sheltered annuities: Omni 403(b) and Deferred Compensation Plan. Personal leave vacation leave (260-day employees only) and sick leave prorated based on FTE.

Job Description: Secretary III High School Attendance

Responsible to: Assistant Principals

Work Year: 190 Days

Hours Per Day: 8.00

General: Operate High School attendance office; provide confidential support services to assistant principals.

Minimum Qualification:

  • Must possess High School diploma or equivalent; A.A. degree with school setting secretarial training preferred.
  • Three (3) or more years of related clerical experience desirable
  • Verbal and written Bilingual (English/Spanish) skills preferred
  • Must be able to operate standard office equipment plus computer skills with knowledge of Microsoft Office package Google applications and willingness to learn Skyward and other student data management systems.
  • Ability to prioritize work and perform job functions with minimal supervision. Ability to complete reports in a timely and accurate manner.
  • Possess effective interpersonal communication skills.
  • Ability to work independently and as a team member.
  • Ability to respond to the changing needs of the workplace.
  • Ability to be flexible and function in a calm efficient fair and courteous manner under frequent interruptions and to exercise careful judgment diplomacy and tact in the performance of duties and assignments
  • Must be able to understand and follow written and oral instructions.
  • Ability to establish and maintain effective communication and positive relationships with students parents staff and the community.
  • Must be able to process student and personnel information in a confidential manner.
  • Ability to maintain a consistent presence at assigned worksite and regularly work hours specified under contract.
  • Must comply with all district policies and code of conduct.

Position Responsibilities:

  • Perform routine office functions including answering a multi-line telephone system. .
  • Knowledgeable of school policy and procedures to answer questions for the staff and public specifically on the subject of attendance.
  • Greet visitors answer questions and give directions to campus locations.
  • Prepare attendance reports for administrators teachers and/or secretaries including class rosters and daily reports.
  • Enter student attendance for substitute teachers.
  • Maintain necessary attendance records for audit reports.
  • Maintain a current list of suspended students and the reason for suspension.
  • Relay to counselor via the parent pertinent and confidential information relating to the student.
  • Maintain strict confidentiality.
  • Contact students for meetings with the Principal Assistant Principals and parents.
  • Perform such other duties as from time to time may be assigned.
  • Supervisory Responsibilities:
  • Coordinate review and supervise work of student assistant(s) and adult volunteers.

QUALIFICATION REQUIREMENTS:

Education and/or Experience:
High school diploma or equivalent; A.A. degree preferred.

Language Skills:
Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with patrons or other employees and students. Verbal and written Bilingual (English/Spanish) skills preferred

Mathematical Skills:
Ability to add subtract multiply and divide in all units of measure including whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret graphs.

Reasoning Ability:
Ability to apply commonsense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Other Skills and Abilities:
Ability to operate a personal computer and related software. Ability to interact positively with school and community. Ability to communicate clearly and concisely both orally and in writing. Ability to develop effective working relationships with students staff and the school community. Ability to perform duties with awareness of all district requirements and Board of Education policies.
