Job Description

Description / Position Overview

Senior Administrative Assistant

In this position you will perform a variety of complex clerical duties in support of the Colorado Springs Fire Department Division of the Fire Marshal Fire Construction Services Unit.

Essential Job Functions- the basic job duties an employee must be able to perform:

  • Provide customer service for the Development Review Enterprise
  • Process over the counter and online payments
  • Act as a liaison for both internal and external customers
  • Answer phones faxes and emails
  • Issue system permits receive payments and issue receipts
  • Purchase supplies; order and keep inventory of equipment
  • Make travel arrangements and prepare travel authorizations
  • Prepare monthly expense reports
  • Arrange meetings and schedule inspections
  • Prepare presentations and presentation notes
  • Enter data into various City applications
  • Review applications for contractor licensing and approvals
  • Prepare documentation for Fire Board of Appeals
We are looking for candidates who demonstrate:
Knowledge of:
  • Modern office technology and supporting software
  • Proper English usage spelling punctuation and grammar
  • Principles and practices of cash handling
Ability to:
  • Type and enter data at a speed necessary for successful job completion
  • Maintain a variety of files and records
  • Maintain and reconcile financial information
  • Multi-task and prioritize duties with a demanding workload
  • Communicate clearly and concisely verbally and in writing
  • Establish and maintain effective working relationships

Minimum Qualifications

  • A high school diploma or GED supplemented by additional specialized training in secretarial sciences accounting or other related field
  • Four (4) years of full-time administrative support secretarial and/or clerical accounting experience
One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education.
Additional appropriate education may be substituted for the minimum experience requirements.

Preferred Qualifications

  • Experience developing budgets
  • Experience with accounts receivable revenue tracking
  • Experience managing calendars and schedules for multiple employees
  • Experience working in a fast-paced office environment
  • Experience in supporting an executive management team
  • Experience with customer service both Internal and external
  • Experience operating a multi-line telephone system

Physical Demands:This position requires the ability to lift up to 10 pounds occasionally.
