Lune des principales divisions du groupe AJW est AJW Technique une installation de pointe pour lentretien la rparation et la rvision (MRO) qui compte plus de 150 techniciens expriments et passionns Montral.

Le ou la coordonnateur(trice) au soutien des oprations veille au bon droulement des activits quotidiennes du bureau en apportant un soutien afin dassurer le fonctionnement fluide et efficace des oprations journalires de lorganisation. Ce rle consiste coordonner les tches et les vnements grer la documentation aider la planification tenir les dossiers jour et faciliter la communication entre les diffrents services.

Rle :

  • Fournir un soutien administratif plusieurs dpartements au besoin.

  • Aider la planification la coordination des runions et la gestion des agendas.

  • Grer les oprations quotidiennes du bureau pour en assurer lefficacit et la fluidit.

  • Participer la saisie de donnes et au suivi des informations propres aux diffrents dpartements.

  • Rpondre aux appels tlphoniques courriels et autres correspondances et les diriger au besoin.

  • Planifier et coordonner les runions les rendez-vous et les dplacements.

  • Prparer des documents : rdiger des lettres des notes de service et dautres documents.

  • Suivre et contrler lavancement des projets et des tches oprationnelles pour garantir le respect des chances.

  • Contribuer aux amliorations des processus pour optimiser lefficacit oprationnelle.

  • Maintenir les systmes de classement (physique et lectronique) et sassurer que les dossiers sont jour.

  • Accomplir toute autre tche assigne par la direction.

The Operations support coordinator ensures smooth day-to-day operations of the office by providing support to ensure the smooth and efficient functioning of the organizations day-to-day activities. This role involves coordinating tasks and events managing documentation assisting with scheduling maintaining records and facilitating communication across departments.

Main responsibilities:

  • Provide administrative support to multiple departments as needed.

  • Assist with scheduling meeting coordination and calendar management.

  • Manage daily office operations to ensure efficiency and effectiveness.

  • Assist with data entry and tracking of department-specific information.

  • Answer and direct phone calls emails and other correspondence.

  • Schedule and coordinate meetings appointments and travel arrangements.

  • Prepare documents: Compile letters memos and other documents.

  • Monitor and track ongoing projects and operational tasks to ensure deadlines are met.

  • Assist with process improvements to enhance operational efficiency.

  • Maintain filing systems (physical and electronic) and ensure records are up-to-date.

  • Perform other duties as assigned by management.

Exigences:

  • DEC li ladministration de lexprience jug pertinente sera aussi considre.

  • Minimum de 3 ans dexprience dans un rle similaire;

  • Matrise de la suite Microsoft Office (notamment PowerPoint Word Excel) ou de Google Workspace

  • Excellentes comptences en organisation et en gestion du temps

  • Solides comptences en communication en franais et en anglais afin dassurer des changes clairs avec les clients les parties prenantes internes et les fournisseurs partout dans le monde

  • Capacit grer plusieurs tches et soutenir efficacement diffrentes quipes

  • Esprit dinitiative avec une attitude collaborative et une approche axe sur la rsolution de problmes

Job requirements:

  • DEC in administration; relevant experience will also be considered.

  • Minimum of 3 years of experience in a similar role.

  • Proficiency with Microsoft Office Suite (especially PowerPoint Word Excel) or Google Workspace.

  • Excellent organizational and time-management skills.

  • Strong communication skills in both French and English to ensure clear exchanges with clients internal stakeholders and suppliers around the world.

  • Ability to manage multiple tasks and effectively support different teams.

  • Self-starter with a collaborative attitude and a problem-solving approach.
