Executive Assistant
We are seeking a highly organized proactive and professional Executive Assistant to support our executive leadership team. The ideal candidate will be a master of multitasking communication and discretion capable of anticipating needs and managing day-to-day administrative operations with precision and efficiency. This position is hybrid reporting to our Archdale NC office 2 days a week.
Your Responsibilities:
- Perform a wide range of administrative tasks to include writing memos preparing various reports and presentations for Chief Officer while utilizing SAP and MS Office Suite. Take responsibility for assigned special projects following through until completion.
- Assist in keeping policies and procedures up to date for departments managed by Chief Officer.
- Prepare customer quotes as needed using customer relationship management system. Understand fundamentals of working with pounds kilograms and various currencies.
- Prepare monthly commission reports for various members of the sales team.
- Assist in maintaining company organization chart.
- Prepare COs expense reports in SAP.
- Assist with organizing two annual conferences for the US and CA sales teams.
- Manage an executive assistant who works remotely part time for the sales department annual assessment manage time off requests assign projects as needed.
- Serve as liaison between other departments as needed.
- Schedule meetings agenda preparation and calendar management.
Our Requirements:
- Excellent written and verbal communication skills in English and preferably German. Ability to present information clearly and concisely.
- Highly organized detail-oriented and able to prioritize tasks effectively. Strong time management skills with ability to manage multiple tasks and meet deadlines. Comfortable working both independently and in a team environment.
- Strong interpersonal skills including the ability to build rapport with a diverse group of individuals.
- Identify and resolve problems proactively and escalate issues when necessary.
- Ability to handle sensitive information with discretion and confidentiality.
- Proficient in Microsoft Office Suite SAP a plus.
- Several years of experience in executive support.
