SUMMARY
The Marketing Administrative Assistant is responsible for a variety of tasks related to Marketing Sales and After Market Services. This includes digital media logging file organization and storage tradeshow related administrative duties CRM daily management scheduling meetings and dinners supporting customer visits managing the marketing materials library and processing an assortment of sales related requests.
The Marketing Administrative Assistant job description is intended to point out major duties and authorities within the position but it is not limited to these items.
This position is fully on-site at Delkors office. The position offers a part-time flexible schedule.
ESSENTIAL FUNCTIONS
- Marketing materials library:
- Update materials - including brochures cut sheets press releases and featured stories.
- Distribute new materials to the Sales Department and post in designated venues.
- Manage the reception lobby display of marketing literature.
- Create temporary business cards when needed.
- Post materials to internal media hosting platforms.
- Tradeshows:
- Pack literature that will be needed during the show and assist in organizing trade show items.
- Register exhibit staff and organize customer/company dinner reservations.
- Update portals with show details and travel plans.
- Sample retention and organization:
- Retain multiple product samples for every machine built at Delkor.
- Organize the Sample Room.
- Maintain sample displays in the company offices and ensure they are well organized and visually attractive.
- Process internal requests for product samples.
- Administrative support for Sales Marketing and After Market Services Departments:
- Assist with travel planning and reservations when requested.
- Order business cards for employees when requested by management.
- Employee communication:
- Work with the Human Resources Department to find capture and post worthy marketing related content for internal distribution to employees via television monitors and the company intranet.
- Coordinate Human Resource Department requests for marketing materials for recruiting purposes including the development of video brochures pamphlets career fair table tents and PowerPoint presentations.
- CRM database:
- Ensure that the contents of the CRM database are clean and accurate.
- Perform other tasks or duties as assigned.
Education and Experience
- Experience in administrative assistance required.
- Marketing degree and/or experience a strongly preferred.
- User level training/experience with a CRM software solution a plus.
- Experience using HubSpot a plus.
Technical Skills and Competencies
- Demonstrated ability to produce written communication at a professional business level.
- Strong working knowledge of Microsoft Office products including Outlook Excel Word Teams and PowerPoint.
- Able to adapt to a fast-paced environment.

Physical Requirements
- Sit at a desk or in meetings for extended periods including performing extensive computer tasks.
- Stand and walk for a portion of the day to interact with other employees.
- Lift 10 40 pounds on occasion.
- Possess arm and hand mobility and strength to lift hold reach carry push and pull packaging supplies and samples.
- Able to judge distances and space relationships to successfully complete detailed activities to fine tolerances including reading spreadsheets and other documents.
Work Environment
- Approximately eighty percent (80%) of the work duties are performed in an office setting carrying out detail work sitting at a desk and working on the computer.
- Approximately twenty percent (20%) of the work is performed on an assembly floor with expose to tools dirt dust chemicals metals and plastics varying temperatures construction noises and odors from production processes.
Tools and Equipment
- Use general office equipment such as computer printer telephone copiers e-mail and other such equipment.
Compensation
- The hourly salary range for this position is $21.00 - $26.00 per hour. At Delkor we are committed to ensuring that each employees compensation reflects their experience performance and skills relevant to their current role. This salary range accounts for various factors considered in the hiring process including but not limited to education skills work experience and certifications. As a result the final salary offer for the selected candidate(s) may fall anywhere within this range.
