Role Overview:
We are looking for a highly proactive Administrative Assistant to support daily operational and personal tasks. This role requires someone who can work independently take initiative and anticipate needs like offering suggestions and solutions before being asked.
You ll be the go-to person for managing day-to-day admin activities coordinating with suppliers handling simple procurement tasks and assisting with occasional personal errands.
Key Responsibilities:
- Collate and coordinate documents for internal and external use
- Communicate with suppliers via phone and email
- Prepare simple quotes based on supplier inputs
- Assist with personal tasks (e.g. booking restaurants placing online orders)
- Answer business calls through a mobile app during office hours
- Maintain daily logs/notes on completed tasks and updates
- Offer suggestions to improve workflows and take ownership of recurring tasks
Requirements
- Proactive and solution-oriented; takes initiative and thinks ahead
- Strong written and verbal communication skills
- Organized and reliable with attention to detail
- Comfortable making calls and coordinating with suppliers or third parties
- Tech-savvy able to use mobile apps cloud documents and communication tools
- Able to work independently with minimal supervision
- Always looking for ways to add value and improve processes
- Experience as a Virtual Assistant or in admin support is a plus
