Job Description

Academic Advisor Supervisor

Saskatchewan Distance Learning Centre requires a permanent full-time 12-month Academic Advisor Supervisor. The position can be located at the campus in Saskatoon or Kenaston and will be based on the principal residence of the successful candidate. The position will commence on July 28th 2025 or a mutually agreed upon date.

Sask DLC is a Treasury Board Crown Corporation created to deliver high-quality and equitable online learning programs to students across the province. Sask DLCs head office is located in Kenaston with an administrative office in Regina and regional campuses located in Estevan Kenaston La Ronge Moose Jaw Neilburg Nipawin Prince Albert Regina Saskatoon Swift Current and Yorkton.

Academic Advisor Responsibilities

Reporting to the Executive Director of Information Systems the Academic Advisor Supervisor is responsible for leading and supporting a team of Academic Advisors who guide students in achieving their academic and career goals. This role oversees the delivery of high-quality advising services related to Ministry of Education graduation requirements post-secondary admission pathways course registration and student planning. The Supervisor ensures the team maintains up-to-date knowledge of Saskatchewans educational regulations and a broad range of post-secondary institutional requirements.

Primary Responsibilities

Team Leadership & Supervision

  • Provide direct supervision mentorship and professional development to Academic Advisors across the province.
  • Schedule assign and monitor work ensuring effective student service delivery and equitable workload distribution.
  • Lead regular team meetings and performance reviews to promote continuous improvement and consistency in advising practices.

Academic Advising Oversight

  • Ensure accurate and consistent advising regarding Saskatchewan Ministry of Education graduation requirements.
  • Guide advisors in supporting students with course selection and high school program planning.
  • Ensure advisors are knowledgeable and up to date with current post-secondary admission criteria and institutional requirements.

Post-Secondary Pathway Guidance

  • Oversee the dissemination and use of post-secondary Registrar handbooks calendars and application processes.
  • Ensure advisors provide tailored guidance on admission requirements for Saskatchewan-based and national post-secondary institutions.
  • Foster relationships with post-secondary institutions to maintain current program information.

Data and Reporting

  • Track student advising outcomes and service metrics to evaluate program effectiveness.
  • Provide reports and feedback to the Executive Director of Information Support and other stakeholders on student advising trends and concerns.

Policy and Compliance

  • Ensure advising practices align with Sask DLC and Ministry of Education policies equity and accessibility principles and student confidentiality regulations.
  • Stay informed of provincial education policy changes and advise on implications for student advising services

Additional Duties as Assigned

  • Contacting and enrolling full-time online students into courses maintaining student graduation plan data to meet Ministry of Education requirements as well as incorporate courses for admission requirements to post -secondary programs;
  • Maintaining accurate data in our DLCgo system as well as supporting Excel spreadsheets that track students graduation status;
  • Having knowledge and understanding of courses offered and different programs (regular French immersion Adult 12 and graduated students) and requirements;
  • Working with Student Support Teachers to assist in Grade 9 -10 Transition Plans;
  • Updating parents and students of new programs available to students;

  • Demonstrate excellent organizational and time management skills.
  • Keep accurate and timely documentation.
  • Demonstrate an ability to adapt to the changing needs of students.
  • Willingness to learn new skills and strategies to effectivelysupport the needs of students.

Education and Experience

  • Bachelors degree in Education Counseling Commerce or a related field (Masters degree preferred).
  • Minimum 5 years of experience in academic advising student services or a related field.
  • Minimum 3 years of leadership coordination or supervisory experience.
  • Experience in a distance or online learning environment is considered an asset.

Employment Conditions

  • Office environment/setting.
  • Typical core office hours (8:00 a.m. to 4:30 p.m. with 30 minute lunch) Monday to Friday.

What We Offer

Salary (Level 6 $27.69/hr to $30.83/hr) and benefits for this position will be in accordance with C.U.P.E. 5544 Collective Agreement September 1 2024 to August 31 2027.
