The primary function of the Payroll Tax Advisor is to manage and support US Payroll operations across 50 payroll entities and approximately 65000 employees as the Tax SME. The role involves overseeing various tax TPA vendors compliance GL reconciliations planning and reporting while providing strategic tax insights to optimize the performance for the payroll tax team. The role will provide tax guidance analysis and research to support payroll operations and our outsourced vendor. This role is for an experienced tax professional with keen attention to detail experience with implementing and building process improvements and strong critical thinking skills to deliver highest quality of tax administration. This role will be expected to complete day-to-day operational tasks and complex projects without immediate supervision and have a degree of forward planning while being able to anticipate the needs and issues that arise with the ability to resolve non-routine complex tax issues.
Responsibilities
Coordinate with outsourced vendor and tax jurisdictions to set up new tax accounts and logon IDs as necessary
Ability to prepare review and comprehend the intricacies of federal state and local tax returns.
Review document improve the tax compliance work effort to achieve greater efficiencies in the tax filing process
Manage our outsourced vendor with various tax accounts to ensure tax payment compliance and reporting obligations are met
Ensure quarterly and annual tax returns are processed by the outsourced vendor timely
Responsible for reviewing and ensuring all employer tax setups are accurate in Workday
Maintain all tax rates tax jurisdictions and review employee level tax setup (work in/resident states) are setup appropriately in the payroll system
Assist the team in testing efforts for system modifications and configurations
Manage and maintain the closure of inactive SUI SIT and Local Tax accounts and the registration of new accounts as needed
Responsible for creating and maintaining process documentation tasks for the role
Provide the highest level of customer service while assisting employees with escalated tax issues
Respond timely to case management based on agreed upon SLAs.
Create and manage various internal payroll tax controls and audits
Identify document and solve issues that may arise due to vendor or system errors
Collaborate with payroll team(s) on tax legislative changes and updates that impact daily operations and implementation projects
Manage online portals and login information for various state and local tax agencies
Support the completion of the Power of Attorney forms and maintain third-party agent authorization to the tax accounts (electronic and paper)
Support occupational licensing by completing application and requesting associated payments requests
Ability to run Workday reports and analyze the data to confirm and resolve tax issues
Support the resolution of tax notices from IRS and/or state taxing authorities in a timely manner in partnership with the outsourced vendor
Support of incoming tax mail (Ricoh electronic and paper) and distribution to HR vendor and various tax departments
Support tax information requests (W-2s payslips prior year items etc.) including the support of taxable wage breakdowns for W-2s and other employee inquiries
Support the research of incoming refund checks and the processing of deposits
Proven experience in managing coaching and mentoring junior team members.
HR/Tax Operations project(s) as assigned including merger acquisitions and divestitures and year-end project tasks
Qualifications
4 years of payroll experience in an outsourced payroll environment within a large-scale organization
2 years of payroll tax or other relevant tax work
Experience with multi-fed/state/local payroll tax filings for a large multi-entity workforce
Bachelors degree or equivalent work experience in a related field strongly preferred. Payroll certification is a plus.
Strong familiarity with Workday preferred
Self-motivated with the desire for ownership and ability to operate independently in a fast paced ever changing and innovative environment
Strong attention to detail with an ability trouble shoot and work items through to resolution
