Job Description
Essential Duties Include:
Coordinate complex scheduling including calendar management accommodation travel logistics for senior management etc.
Handle sensitive information with discretion and maintaining confidentiality
- Effectively and professionally interact with Great Southern Wood Preserving teammates vendors and other outside partners to achieve desired goals including to attend meetings with departmental leadership to discuss current projects and tasks. Meet with leadership as needed.
- Maintain an appropriate liaison with primary vendors regarding on-going projects. Assure files reflect changes and are up to date.
- Review the Central Operations Center logs and prepare appropriate reports for the Chief Security Officer.
- Assure all invoices are processed in a timely manner and payments are made. Complete all financial transactions in J.D Edwards and similar financial management systems accurately working with accounts payable to resolve any issues.
- Proactively assist the Chief Security Officer in budgetary issues.
- Assure all assignments in the necessary program are completed in a timely manner and are accurate in content grammar and form.
- Assure all applicant treatment plant sawmill personnel and other appropriate files are properly maintained and up to date.
- When requested assist the Chief Security Officer in meetings and record relevant topics and action items.
- Assist in the orderly maintenance of the Administrative Office particularly in ordering supplies for both the Central Operations Center and the Administrative Office.
- Ensure completion of department new hire paperwork medical appointments job training etc.
- Other duties as assigned.
Qualifications:
- 1-3 years of experience is required. 25 years experience preferred
- Bachelors degree in business administration is preferred
- Demonstrate competence in typing word processing note taking computer programs and other general administrative duties.
- Have a working knowledge of budget and financial issues.
- Successfully undergo a thorough background investigation.
- To perform this job successfully an Executive Assistant must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Work Environment:
The work environment involves sitting for extended periods of time working on a computer. There may be periods of time spent at a console monitoring alarms cameras and lighting. The console work also involves answering telephones and working the radio in a professional and helpful manner. There may be times where this position is needed at sites around the Abbeville campus or at off-site locations. Minimal travel is required but may be requested. In the case of an emergency or crisis the position may need to work extended hours.
