You will be updated with latest job alerts via emailWe are seeking an experienced and highly organized Central Scheduling Manager to lead and oversee the appointment scheduling operations across multiple hospital departments. This role is responsible for ensuring that all patient appointments are scheduled efficiently accurately and in a manner that supports high-quality care and patient satisfaction. The ideal candidate will bring strong leadership communication and process improvement skills to ensure seamless coordination between scheduling teams clinical departments and patients. This manager will also supervise our medical records technician.
Manage day-to-day operations of the hospitals centralized scheduling department including outpatient diagnostic specialty and procedural appointments.
Supervise a team of central schedulers and ensure adherence to department protocols hospital policies and patient care standards.
Collaborate with department heads and administrative staff to optimize appointment availability.
Monitor and evaluate scheduling performance metrics (e.g. no-show rates appointment lead times call response times) and implement strategies to improve efficiency.
Oversee the use of scheduling software (e.g. CPSI) and troubleshoot system-related issues as needed.
Ensure compliance with HIPAA regulations billing requirements and insurance authorization processes as related to scheduled services.
Develop and maintain staff training programs focused on patient-centered communication system use and workflow adherence.
Serve as a key liaison between the scheduling team and clinical departments to support patient flow and operational continuity. Follow up with providers at clinics when necessary.
Resolve escalated scheduling issues and respond to patient complaints or concerns professionally and promptly.
Supervise daily activities of Medical Records Technicians ensuring accuracy and timeliness of record handling.
Monitor records retention and destruction schedules in accordance with legal requirements.
Oversee the release of information (ROI) process ensuring proper authorization for records disclosure.
Manage responses to subpoenas legal requests and patient access requests in a timely and compliant manner.

Qualifications :
Associates degree required. Bachelors degree preferred.
Minimum of 35 years of experience in healthcare scheduling with at least 2 years in a supervisory or managerial role.
Strong knowledge of medical terminology clinical workflows and appointment scheduling systems.
Proficient with hospital information systems and scheduling platforms.
Excellent organizational leadership and communication skills.
Demonstrated ability to analyze data and implement operational improvements.
Experience managing scheduling across multiple hospital departments or service lines.
Familiarity with insurance verification and pre-authorization processes.
