JOB DESCRIPTION
Job Summary: The Front Desk Receptionist is responsible for managing the front desk lobby conference rooms and break room handling incoming and outgoing communications coordinating meetings and providing other administrative support. This position reports to the Director of Administration.
Key Responsibilities:
Open the office at 8 AM and close the office at 5 PM each workday.
Warmly welcome and assist clients and other visitors to the office.
Quickly and professionally answer incoming calls routing calls and taking and relaying messages as appropriate.
Distribute daily communications to team members via email.
Distribute incoming mail and coordinate outgoing mail.
Manage the scheduling cleanliness and readiness of the lobby and conference rooms.
Upload vendor invoices and expense reports to the firms expense management system.
Coordinate catering take notes and support other logistics at internal meetings. Assist the Office Manager & IT Specialist and the Director of Strategic Partnerships with logistics relating to external engagement.
Ensure the breakroom is clean and orderly and coffee and other beverages are fully available to colleagues and other guests.
Coordinate with the building manager help plan employee-related celebrations and administer the Goelzer Bucks program which rewards team members for certain achievements and external engagements.
Assist the Office Manager & IT Specialist with the administration of the Sonos speaker system and the Brivo office security system.
Perform administrative responsibilities for the CEO President and other members of the Leadership Team on a regular basis and for others in the firm on an as needed basis. Such duties include document preparation data entry and scheduling meetings.
Manage and maintain the storage room and office supplies.
Other duties as assigned.
Work Experience / Knowledge:
Prior experience as a front desk receptionist or executive assistant preferred.
Prior experience at a financial services firm a plus.
