Please Note:This position has hybrid work arrangements employees are expected to report to the office at least 2 -3 days a week with additional days needed. These arrangements are subject to change.


Description of Job:
As an Executive Assistant to one of the Department Executives you will provide full administrative and logistical support in providing and improving our statewide programs and facilities. This is a fast paced environment working with very passionate people who manage and administer high profile sensitive and critical programs. This position will work with and manage critical sensitive and confidential information and is required to protect and hold secure such information while supporting the Executive. In this role the Executive Assistant will work closely with other executive assistants in the organization the Governors Office other state Cabinet agencies and the public while acting as the liaison between the office and other senior managers of CDHS as well as a variety of important external business contacts.


Duties Include:
  • Serve as CDHS first point of contact for CDHS employees citizens legislators the Governors Office federal state and county elected officials and other stakeholders
  • Researches and resolves issues or complaints received in the Office
  • Provides project management of key strategic initiative work plans
  • Monitors and drives timelines and deliverables for the division
  • Provides administrative support by coordinating the flow of information to the office making travel arrangements managing schedules and calendars coordinating meetings preparing correspondence reports publications policies procedures and other written material
  • Manage and support confidential and privileged information with multiple tasks in a highly charged complex and highly visible organization while responding to multiple stakeholders with varying interests
  • Coordinate meetings prepare agendas briefings or support materials for meetings presentations and speaking engagements
  • Use measured independent judgement to evaluate project timeliness provide oversite and solution management in relation to agency-wide initiatives
  • Develop and monitor budget items; identify budget issues; analyze complicated data develop trend patterns/data and recommend management models to eliminate errors
  • Provide hiring onboarding and offboarding support and management
  • Other duties as assigned

MINIMUM QUALIFICATIONS:

Option 1 - Experience:
  • Six (6) years professional experience supporting executive leadership which included project management budget management and compliance.

OR

Option 2 - Experience & Education:
  • A combination of related education and/or relevant experience as stated above equal to six (6) years.
Preferred Qualifications:
  • Excellent communication skills both verbally and in writing to include strong grammar editing proofreading and punctuation skills

  • Ability to work independently and exercise sound judgment

  • Proven ability to successfully manage multiple tasks/responsibilities simultaneously while consistently monitoring and adjusting to changing needs and priorities

  • Experience working in the Colorado Department of Human Services

  • Experience working in a fast-paced environment

  • Experience working within human services and/or with the human services systems

Conditions of Employment:
  • Must be willing to submit to and be able to successfully pass a criminal background check
  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must disclose the information on the application and provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position. Absent extraordinary circumstances prior disciplinary termination or resignation in lieu of termination will disqualify the applicant from future State employment with CDHS.
