Job Duties

Suffolk General District Court is looking to fill a Supervisory Deputy Clerk position . Position requires an individual with strong multi-tasking abilities exceptional organizational skills excellent inner-personal skills outstanding attendance superior customer service and effective leadership skills. The selected candidate will be required to report to work during inclement weather and/or emergencies.

The Supervisory Deputy Clerk is assigned operational responsibilities in a high volume fast-paced office with everyday deadlines and is responsible for a wide range of technical responsibilities in the office. The individual will direct or personally handle the operational activities required for efficient caseload processing to include but not limited to records management cash processing attendance in court and service to the public. In addition the individual ensures the courts instructions are executed and legal documents prepared with accuracy and in accordance with state and local policies.

The Supervising Deputy Clerk is assigned responsibilities by management and/or the Clerk of Court with regular daily deadlines to include the transport of bank deposit bags and mail between the two courthouses. The selected candidate must have their own reliable transportation to perform in the position.

Essential Duties & Responsibilities:
Processes and files court documents answers telephone inquiries handles a wide range of complex clerical tasks across the Criminal Traffic division. Assignments include preparing detailed correspondence court documents and forms in accordance with established guidelines. Entering data into an automated Case or Financial Management System. Delivers a high degree of customer service (in person by telephone electronic and mail) by providing information in person and by telephone resolves problems assesses fees fines and costs enters data completes data entry and alpha and numeric filings. The qualified candidate is

committed to interacting with the public external or internal agencies and divisions in a friendly courteous and patient manner. The Supervising Deputy Clerk is responsible for ensuring all work is completed timely and completing assignments when staff are absent.

Minimum Qualifications

High School diploma or equivalent required; college or business school courses are preferred. Most competitive applicants will have a minimum of three years of supervisory or court experience legal and judicial knowledge and will demonstrate competence in areas of responsibility. Financial court business records management computer skills and office-related experience are essential.
Applicants should be highly organized and possess significant knowledge skills and abilities in personnel management performance attendance and time management. Excellent written and verbal communication skills and advanced knowledge of office automation systems and computer software required.

Additional Considerations

Additional responsibilities include cross training addressing departmental concerns handling investigations and disciplinary actions preparing reports assisting customers at the front counter filing court documents docket preparation attending court sessions and receipting payments. Must be able to multitask and assume additional responsibilities as assigned by management and/or the Clerk of Court.
