RESPONSIBILITIES
Essential Functions
- Serve as the main point of contact for the State of Alabama Travel Authority.
- Arrange domestic and international travel including flights accommodations ground transportation and other logistical needs.
- Develop and manage comprehensive travel itineraries ensuring accuracy and timely updates as needed.
- Research and negotiate with travel vendors to secure competitive rates and favorable terms.
- Communicate travel details effectively providing employees with necessary documentation and instructions.
- Process travel expenses ensuring compliance with company policies and budgetary constraints.
- Maintain accurate travel records and databases for easy access and reporting.
- Stay informed on industry travel trends and recommend best practices for cost-effective and efficient travel planning.
- Provide regular updates on travel policies and procedures.
- Prepare reports and manage correspondence related to travel arrangements.
- Assist with travel coordination for staff and Board members.
- Effectively prioritize and manage multiple tasks and deadlines.
- Assist with various office tasks.
- Assist finance team with limited accounting duties.

QUALIFICATIONS
Required Education
- High School Diploma or GED (Required).
- Associates or Bachelors Degree in Business Administration Hospitality Management Travel & Tourism or a related field preferred.
- Certifications such as Certified Travel Associate (CTA) or Certified Administrative Professional (CAP) may be beneficial but are not required.
Required Experience
- Minimum of 23 years in travel coordination administrative support or office management with a background in arranging domestic and international travel managing itineraries and handling expense reporting.
- Experience working with corporate travel policies vendor negotiations or government travel authorities is preferred.
- Proficiency in travel booking systems Microsoft Office Suite and expense management tools are required.
- Travel system and expense report automated workflows preferred.
- Concur experience preferred.
OTHER REQUIREMENTS
Physical Requirements
This role primarily involves sedentary work requiring prolonged periods of sitting at a desk while using a computer. The position may also involve occasional standing walking and lifting of office supplies files or travel materials typically up to 1525 lbs. Frequent use of hands and fingers for typing writing and handling documents is essential. Effective communication both in person and through phone and email is necessary for coordinating travel and administrative tasks.
