Job Purpose:
- The Executive Assistant at VITORI HEALTH LLC is responsible for providing high-level administrative support to the executive team. This role involves managing schedules coordinating meetings handling communications and ensuring the smooth operation of daily activities. The Executive Assistant acts as a key liaison between executives and internal/external stakeholders maintaining confidentiality and professionalism at all times.
Key Responsibilities:
- Manage and organize executive calendars including scheduling meetings appointments and travel arrangements.
- Prepare and edit correspondence communications presentations and other documents.
- Coordinate and facilitate meetings conferences and special events including logistics and catering arrangements.
- Serve as the primary point of contact for internal and external communications on behalf of the executive team.
- Conduct research compile data and prepare reports for consideration and presentation by executives.
- Maintain and update filing and database systems ensuring accuracy and confidentiality.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Assist in the preparation of meeting agendas take minutes and follow up on action items.
- Support the executive team in project management tasks and other special projects as needed.
- Build and maintain positive relationships with clients partners and stakeholders on behalf of the executive team.
Required Education:
- Bachelors degree in Business Administration Management or a related field is preferred.
Required Experience:
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
- Proven experience in supporting senior executives and managing complex schedules.
- Experience in handling confidential information with discretion and professionalism.
- Prior experience in a healthcare or corporate environment is an advantage.
Required Skills and Abilities:
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other office management software.
- Ability to work independently and collaboratively in a fast-paced environment.
- Demonstrated ability to anticipate needs and proactively address challenges.
- Strong interpersonal skills with the ability to interact effectively with all levels of the organization.
- Flexibility and adaptability to changing priorities and deadlines.
- High level of professionalism and a strong sense of integrity and confidentiality.
