About the Position:

We are seeking motivated candidates for the position of Records Specialist in the Records Management Unit of the Bureau of Motor Vehicles. In this role you will be responsible for scanning validating and processing critical BMV documents into our document imaging system (Kofax). Your attention to detail and ability to follow precise quality standards will help ensure data integrity and support the timely access and retrieval of essential records.

In this role you will:

  • Validate and verify scanned documents using Kofax Capture Software.
  • Accurately scan and process title registration and driver-related documents received from across the bureau.
  • Examine scanned images for clarity accuracy and completeness flagging any discrepancies for supervisor correction.
  • Enter scanned batch data into Excel for tracking purposes.
  • Research tax receipt numbers and registration documents using the Vehicle Services (VS) system.
  • Retrieve and provide document copies from scanned images or archived reels as requested by other units or external sources.
  • Regularly clean scanner equipment and order supplies as needed.
  • Conduct end-to-end testing of scanning workflows to identify and report defects or process gaps.
  • Promote a respectful and courteous work environment maintaining professional interactions with coworkers and the public.

Preferences will be given to candidates who have:

  • Knowledge of Kofax scanning software and the BMVs data systems (on-line VS).
  • Familiarity with documents related to Maine driving history title registration and exam records.
  • Experience in validating or verifying document accuracy and indexing in a records system.
  • Demonstrated ability to shift priorities quickly and manage multiple tasks.
  • A proven ability to work in a collaborative team-focused environment.

Minimum Qualifications:

Training education or experience in office and administrative support work that demonstrates

  1. competency in applying a solid knowledge of inventory and property management principles to perform complex work in conducting inventory operations for a warehouse or stockroom and
  2. the ability to use independent judgment in handling exceptions to established work assignments priorities and schedules.

All positions in this classification assume the qualifications of: Inventory and Property Assistant.
