Job Description

We re looking for a sharp dependable and proactive Recruiting Operations Assistant to help keep our fast-moving hiring process on track. In this role you ll provide essential support to recruiters managing calendars reviewing KPIs organizing candidate data sending outreach messages and keeping our systems running smoothly.

This is an entry-level fully remote role for someone comfortable with admin work basic outreach and staying highly organized in a fast-paced environment. Trustworthiness is key you ll be handling sensitive candidate information and internal communications daily.

What You ll Do:

  • Support recruiters with interview scheduling calendar coordination and candidate follow-ups

  • Manage and update spreadsheets trackers and internal tools (including KPI trackers)

  • Send reminders to team members based on KPIs deadlines or pending actions

  • Post job openings and monitor applicant flow

  • Assist with candidate outreach via email chat and occasional cold calls

  • Monitor recruiting tools and software; report any system issues

  • Upload and organize training videos onboarding files and documentation

  • Handle confidential information with professionalism and discretion



Requirements

  • Excellent written and verbal English communication skills

  • Highly organized self-motivated and dependable

  • Comfortable managing multiple tasks in a fast-paced remote setting

  • Strong attention to detail when reviewing trackers and timelines

  • Able to follow up and send reminders without needing micromanagement

  • Familiar with tools like Google Suite Calendly Discord Notion Zoom etc.

  • Available during U.S. business hours (night shift in your time zone)

  • Reliable internet connection and remote-ready workspace

Nice to Have:

  • Prior experience in admin recruiting or virtual assistance

  • Familiarity with KPIs applicant tracking systems or CRM tools

  • Comfortable making light outreach calls or follow-ups



What We re Looking For Bachelor's Degree At least 1 year of experience as a recruiter or in a recruitment-related role Hands-on experience with candidate sourcing, particularly through LinkedIn Recruiter or LinkedIn Sales Navigator Strong communication and organizational skills Familiarity with applicant tracking systems (ATS) is a plus Ability to work independently and manage multiple tasks efficiently Comfortable working a night shift aligned with Eastern Standard Time hours
