- Greet and assist clients providing information and directing them to the appropriate personnel.
- Answer and direct incoming phone calls and manage general email and packages correspondence in a professional manner.
- Maintain an organized and presentable front desk and reception area.
- Schedule appointments manage calendars and coordinate meetings for staff as needed.
- Perform administrative duties such as data entry filing making copies or printing any documentation. Assuring consultation booklets are prep for the newt day if needed.
- Oversee and monitor internal databases.
- Communicate with staff via emails texts and posted reminders for events and any notifications needed.
- Coordinate office supplies and inventory ensuring timely restocking.
- Support special projects events and other operational tasks as assigned.
- Always maintain confidentiality of sensitive information.
- High school diploma or equivalent.
- 1-2 years of experience in office administration or other related fields.
- Proficiency in Microsoft Office Suite (Word Excel Outlook) and familiarity with office management software.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail; ability to multitask and prioritize effectively.
- Professional demeanor and a commitment to providing exceptional customer service.
- Strong typing and computer skills.
- Prompt and reliable in task execution.
- English and Spanish is a MUST!
Preferred Qualifications
- Experience in a professional service legal or corporate environment.
- Familiarity with scheduling tools CRM systems or other office management software.
- Ability to work both independently and as part of a team.
Working Conditions
- Full-time on-site position at Pembroke Pines Office
- Standard business hours with occasional overtime as required.
