Job Description Summary

Summary: Independently produces manages logistics and execution of campus events in support of the Wake Forest University mission. Produces creative and effective events within budget and successfully manages university and vendor partnerships. Manages and supports Wake Forest leadership during events.

Job Description

Essential Functions:

  • Produces manages and executes events supported by the University Events Office to include but not limited to: rentals floral arrangements linen selection invitations catering menu planning seating assignments rental orders space reservations parking security audio/visual arrangements budget reporting and coordination of event set-up/strike with all vendors.
  • Plans and programs outline development program content speakers and scripts for all assigned events. Coordinates audio-visual and print assets as needed. Contributes to and manages all projects in the project management system.
  • Prepares budgets negotiates contracts coordinates group travel and manages all on site vendors towards successful conclusion of event.
  • Coordinates and implements campus-wide events on and off campus including.
  • Generates internal facilities work orders transportation and parking requests security requests and catering orders for all events sponsored and/or supported by the University Events office.
  • Attends university events sponsored and/or supported by the University Events office and performs duties as assigned in support of event team. Duties include event set and strike duties.
  • Contributes to the University Marketing and Communications team.

Required Education Knowledge Skills Abilities:

  • Bachelors degree plus two to four years of direct experience with event production and/or catering.
  • Knowledge of event production strategies processes and available resources.
  • Ability to manage logistical responsibilities for events produced by the University Events office.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work under pressure and with deadlines.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage prioritize and meet deadlines on multiple tasks.
  • Proficiency in Word Excel Google and CVENT and other relevant software.
  • Ability to work evenings and weekends as required.
  • Should be able to meet the requirements of the universitys automobile insurance.

Preferred Education Knowledge Skills Abilities:

  • Experience in an academic setting.
  • Experience staffing senior level administrators.

Accountabilities:

  • Responsible for own work.

Physical Requirements and Environmental Conditions:

Sedentary work primarily involving sitting/standing; communicating with others to exchange information; repeating motions that may include the wrists hands and/or fingers; and assessing the accuracy neatness and thoroughness of the work assigned. Moving about to accomplish tasks or moving from one worksite to another. Adjusting or moving objects up to 50 pounds in all directions. Medium work that includes moving objects up to 50 pounds. No adverse environmental conditions expected.
