WHY JOIN WFP

The Asset Management Unit (AMU) is part of the Management Service Division Infrastructure and Facilities Management branch (MSDI). AMU is responsible for providing all WFP offices with the necessary policies guidance tools to manage assets globally. Assets are essential to deliver our mandate to serve our beneficiaries. AMU is taking great strides on its new approach to responsible asset management through improved tracking accounting policy guidance capacity building and field support.
In addition the Asset Management Unit provides daily support to users and works on various projects. Close monitoring of process efficiencies data quality and collaboration with various stakeholder of the organization play an important role in achieving the objectives of the unit.
As WFPs assets continue to grow in numbers and value it is important to revisit some of the principles of and approaches to Asset Management. Processes are being streamlined and simplified and the application and monitoring of internal controls need to be regularly evaluated. Therefore a function providing operational review and analysis supporting audit reviews monitoring of assets and optimizing asset management processes has been established to address these requirements.
The AMU is currently seeking a Business Transformation Officer who will amongst other things provide strategic advice based on qualitative and quantitative analysis carried out prepare management reports support activities relating to audit reviews including following-up on recommendations as well as build and nurture relationships with business counterparts.
This position is suited for someone who can work both independently and in a team has excellent analytical problem solving and organizational skills possesses the required knowledge and the structured approach to address complex situations in the area of asset management. The ideal candidate is impeccably structured and organized technology-savvy quick to learn new tools and to familiarize themselves with WFPs business processes.
This position is home based with occasional travel to Rome where the unit is based.

ACCOUNTABILITIES/RESPONSIBILITIES

Within delegated authority and reporting directly to Head of Asset Management Unit and ultimately to the Chief of Infrastructure and Facilities Management Branch (MSDI) the Business Transformation Officer will be responsible for the following duties:
1. Supporting the development of functional work plans ensuring compliance with wider WFP policies standards and strategies;
2. Continuously improve guidelines processes and procedures of MSD function
3. Build and nurture relationships with the business counterparts to understand and anticipate the direction of the business and ensure alignment of providers solutions with changing business requirements and priorities.
4. Participate in identifying business needs and propose well-researched ideas for new or improved systems tools and processes that assist meeting WFP objectives.
5. Proposing change and continuous operational improvement in support of business capabilities;
6. Communicate business objectives requirements and process flows to ensure common understanding and prioritization between stakeholders for their smooth implementation.
7. If require manage a team of staff providing coaching training and guidance to ensure appropriate development and enable high performance.
8. Supporting activities relating to audit reviews including following-up on recommendations;
9. Providing strategic advice based on analysis (qualitative and quantitative) carried out;
10. Upon request developing and preparing internal reports for top-level middle-level and/or lower-level management; as well as drafting policy documents and guidance materials in collaboration with the Head of AMU and Global Asset Support team;
11. Delivering on any other tasks assigned by the Head of Unit.

DELIVERABLES AT THE END OF THE CONTRACT

Contribute to supporting internal and external audits including coordination and following-up on recommendations;
In-depth analysis of WFPs assets recorded in GEMS especially in regard to Taxonomy depreciation assets in stock etc.
Timely submission of management reports upon request from supervisor;
Delivery of policy and/or guidance materials.

QUALIFICATIONS AND REQUIREMENTS

Education:

Advanced university degree in Business Economics Business Administration International Development Management or any other relevant field or alternatively primary University degree with additional years of related work experience or training /courses.

Experience:

Minimum 5 years of professionally relevant post-graduate experience in a combination of asset management finance analysis & reporting and/or project management;
Demonstrated knowledge of rules and regulations policies and procedures around Asset Management;
Use of the Asset Management module of SAP or any other ERP systems and advanced knowledge of MS Excel;
Running reports to analyse interpret and monitor/reconcile data;
Experience with the implementation of change management / transformation projects and management of team members in the context of an international organization;
Demonstrated ability to effectively collaborate with different stakeholders;

Familiarity with WFP operations and work environment are highly desirable.

Language:

Excellent command of spoken and written English is essential.
Knowledge of a second official UN language: Arabic Chinese French Russian Spanish is considered an asset.

OTHER SPECIFIC JOB REQUIREMENTS

Proven ability to conceptualize plan manage develop and monitor processes;
Business sense: deep knowledge of asset management practices and the humanitarian sector in which the organization works and the challenges it faces;
Technical knowledge and ability to maintain an outsider perspective to break old habits and bring change to the organization;
Ability to produce high-quality written materials presentations;
Strong strategic thinking decision-making problem-solving skills: agile flexible proactive and patient; able to work with both in a team and with a high degree of autonomy;
Extensive proficiency in Microsoft 365 (Outlook Excel Word PowerPoint Teams SharePoint).

Soft skills:

Outstanding analytical negotiation and advocacy skills;
Excellent communication analytical and project management skills;
Good interpersonal and communication skills ability to perform in a multifunctional team setting;
High degree of independence and ability to work under minimal supervision;
Uses tact and courtesy to give and receive information with a variety of individuals (people oriented).
