The Plant Admin Executive is responsible for managing the administrative functions of the plant ensuring smooth daily operations and providing comprehensive support to the plant management team. This role involves handling documentation coordinating communication between departments managing hotel and transportation arrangements overseeing housekeeping security and gardening activities. The Plant Administrator plays a key role in maintaining an organized efficient and welcoming plant environment.
Core Responsibilities:
Administrative Support:
Provide administrative support to the Plant Manager and other senior staff.
Prepare and maintain plant records reports and documentation.
Manage correspondence including emails letters and memos.
Schedule meetings prepare agendas and take minutes as required.
Ensure timely processing vendors invoice for the payment with necessary approval.
Office Management:
Oversee the operation of office equipment i.e. stationary courier housekeeping material pantry consumables and ensure that all supplies are stocked.
Coordinate maintenance and repair of office facilities.
Implement and maintain office procedures to ensure efficiency.
Human Resources Support:
Assist with the recruitment process with co-ordination and managing candidate communications.
Maintain employee records including preparing on-roll and off-roll employees attendance leave and performance data.
Coordinate training and development programs for staff.
Invoicing and payment:
Ensure concerns vendors are submit invoice on time and process the same for payment for seamlessly services at plant.
Compliance and Safety:
Ensure to submit two safety observation on myCority portal every month.
Ensure compliance with company policies and industry regulations.
Support audits and inspections as needed.
Communication and Coordination:
Serve as the point of contact between plant staff and external stakeholders.
Facilitate communication between different departments to ensure cohesive operations.
Address and resolve administrative issues and concerns promptly.
Hotel and Travel Arrangements:
Coordinate and book hotel accommodations for plant visitors management and staff.
Arrange transportation for staff and visitors including rental cars shuttles and airport transfers.
Manage travel routes including flight bookings and travel schedules.
Ensure compliance with company travel policies and budget constraints.
Housekeeping Coordination:
Oversee and coordinate housekeeping services to ensure cleanliness and maintenance of plant facilities and maintain all the records for the internal/external audits.
Ensure Paste control activities are in place as per set guideline with all the records.
Schedule regular cleaning and maintenance tasks for office areas break rooms restrooms and other common areas.
Address and resolve housekeeping issues promptly coordinating with external service providers as needed. Procuring Housekeeping material.
Security Management:
Coordinate with security personnel to ensure the plants security measures are in place and functioning.
Monitor and manage main gate entry/exit access including ID card and entry registers.
Assist in developing and implementing security policies and procedures.
Respond to and manage security incidents and emergencies coordinating with local authorities when necessary.
Event Planning:
Assist in organizing plant events meetings and employee functions.
Coordinate logistics for special events i.e. celebration training etc.
Handle catering venue arrangements and other event-related details.
Gardening Maintenance:
Oversee and coordinate gardening activities around the plant premises.
Schedule and manage routine maintenance tasks including planting weeding watering and fertilizing replacement of damage pots.
Coordinate with gardening staff or contractors to ensure that plant and garden areas are well-maintained and visually appealing.
Telephone Mobile and Leased Line Management:
Maintain records of telephone mobile and leased line services including service contracts usage reports and billing.
Coordinate with telecom providers to ensure reliable and efficient telephone services.

Skills:
Strong organizational and multitasking abilities. Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook). Excellent written and verbal communication skills. Familiarity with office equipment and procedures. Ability to handle sensitive information with discretion.
Working Conditions:
Office environment within the plant premises.
Standard working hours with occasional overtime as needed.
May require occasional travel between different plant sites or locations.
