Job Description

Position : Virtual Assistant

Work Hours (Client) : Wednesday - Sunday 10am to 6pm PST Full-Time 40 hours

Pay Range : $1000 - $1200 USD/month (varies based on skill set and experience level)

Location of Search : Philippines Latin America South Africa or Any Region

Work Location : REMOTE

Company/Client Overview:

The company began as a $50 investment and has grown into a fast-scaling event rental business in Southern California. We re projecting over $150000 in revenue this year with plans to expand into multiple locations and eventually franchise nationally. We re now hiring our first full-time virtual assistant to help us push the business to the next level.

Duties and Responsibilities:

We are looking for a highly organized proactive and tech-savvy Virtual Assistant who will work closely with the founder to manage and systematize backend operations. This role is critical to scaling our business efficiently and will grow in responsibility over time. You must be fluent in English proficient with AI tools and excited about working in a high-growth environment.

Operations & Admin Support

  • Handle customer communication via email chat and social media
  • Follow up on bookings and lead nurturing
  • Create invoices and follow up on unpaid balances
  • Communicate schedules and job details to delivery crews
  • Assist with data entry calendar organization and task tracking
  • Create and manage SOPs (Standard Operating Procedures) for all business processes

Marketing & Automation Support

  • Coordinate with videographers and social media content teams
  • Manage Klaviyo email campaigns and flows (training provided)
  • Monitor and improve ManyChat and AI chatbot flows
  • Assist with A/B testing ads (Facebook Instagram Google)

Sales Assistance

  • Follow up with leads generated from ads AI and website forms
  • Send basic quotes and gather needed info for manual bookings
  • Track and organize customer inquiries to ensure no lead is left behind

AI & Systems Integration

  • Use and improve current AI tools (e.g. ManyChat Klaviyo ChatGPT)
  • Help identify areas where automation can reduce repetitive tasks

Minimum Requirements:

Language requirement: Excellent English Communication Skills (minimal accent is acceptable)

Education: Bachelors Degree (ideally)

Experience: 3 years of related experience

  • Excellent written and verbal English communication skills
  • Experience in customer service/operations/marketing roles is required
  • Familiarity with tools like Google Workspace Slack Klaviyo and ManyCthhat is nice to have
  • Proficiency in using AI tools like ChatGPT is required
  • Eager to learn new systems
  • Highly organized and process-driven
  • Comfortable working independently with clear expectations
  • Prior experience with small business operations or startups is required
