Job Title: Executive Secretary to the Dealer

Position Summary: George Nunnally Chevrolet Inc. is seeking a highly organized discreet and proactive Executive Secretary to provide comprehensive administrative and secretarial support directly to the Dealer/Owner. This critical role ensures the seamless operation of the Dealers office facilitating efficient communication and contributing to the overall success of the dealership. The ideal candidate will be a trusted partner capable of managing diverse responsibilities with professionalism and precision.

Key Responsibilities:

  • Executive Support:
    • Manage and maintain the Dealers dynamic calendar including scheduling appointments meetings and travel arrangements.
    • Prepare review and edit confidential correspondence reports presentations and other documents ensuring accuracy grammar and adherence to company standards.
    • Organize and maintain highly sensitive physical and electronic filing systems ensuring confidentiality and efficient retrieval of information.
    • Handle incoming and outgoing communications (phone calls emails mail) prioritizing and responding on behalf of the Dealer as appropriate.
    • Coordinate and prepare for all meetings including agenda development minute-taking and distribution of materials.
    • Process expense reports and manage petty cash for the Dealers office with meticulous attention to detail.
    • Order and maintain office supplies for the Dealers office.

  • Communication & Liaison:
    • Act as the primary point of contact and liaison between the Dealer and various internal departments (Sales Service Parts Finance) employees customers and external business partners.
    • Ensure a smooth flow of communication and timely dissemination of critical information throughout the organization.
    • Handle sensitive and confidential information with the utmost discretion integrity and professionalism.
  • Project & Operational Support:
    • Assist with special projects research initiatives and strategic tasks as directed by the Dealer.
    • Proactively follow up on action items deadlines and commitments to ensure timely completion of tasks.
    • Conduct research and gather data to support informed decision-making for the Dealer.
  • General Administration:
    • Anticipate the Dealers needs and proactively take action to support their effectiveness.
    • Maintain a professional welcoming and efficient environment in the Dealers office.
    • Provide ad-hoc administrative support as needed to ensure the smooth and effective operation of the Dealers daily activities.

Qualifications:

  • Minimum of 5 years of proven experience as an Executive Secretary Executive Assistant or a similar high-level administrative support role preferably within the automotive industry or a related fast-paced business environment.
  • Exceptional organizational planning and time management skills with the ability to prioritize and manage multiple competing tasks effectively.
  • Superior verbal and written communication skills with impeccable grammar spelling and attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) is essential. Experience with dealership management systems (DMS) or CRM software is a significant plus.
  • Demonstrated ability to exercise sound judgment discretion and maintain absolute confidentiality.
  • Highly proactive resourceful self-motivated and capable of working independently with minimal supervision.
  • Strong interpersonal skills with a professional demeanor and the ability to build rapport with diverse individuals.
  • Adaptability to changing priorities and the ability to perform effectively under pressure.
  • High school diploma or equivalent required; an Associates or Bachelors degree in Business Administration Office Management or a related field is strongly preferred.
