Job Summary:
The Business Administration Assistant ensures efficient business operations by managing administrative tasks logistics compliance and executive support. This role handles office coordination inventory tracking permit renewals and the CEO s schedule while supporting projects and daily workflows. The ideal candidate is proactive highly organized and adept at multitasking in a fast-paced environment.
Key Responsibilities:
Administrative & Executive Support:
- Manage the CEO s business calendar including scheduling meetings appointments and travel.
- Handle confidential correspondence and communications.
Operations & Logistics:
- Coordinate product production shipping and inventory logistics including tracking stock levels and coordinating with suppliers.
- Order supplies for stores and production ensuring cost-effectiveness and timely delivery.
- Monitor operation reports identify issues and bring them to management's attention with recommended actions where appropriate.
- Maintain Monday boards inventory records and resolve discrepancies.
Compliance & Licensing:
- Maintain records and renew business licenses permits and certifications (local/state/federal) timely.
- Ensure compliance with industry regulations and deadlines.
- File and organize legal and financial documents.
Other Support:
- Other projects as assigned including but not limited to research data entry and progress tracking.
- Support cross-departmental initiatives (e.g. marketing R finance).
- To cover Family Assistant in her absence.
Requirements
- College degree in Business Admin or related field preferred.
- 3 years in admin operations or logistics roles.
- Proficiency in Microsoft Office project management tool (e.g. Monday) and calendar tools (i.e. Microsoft Outlook).
- Attention to detail problem-solving and ability to prioritize tasks.
- Knowledge of compliance/licensing processes is a plus.
