Virtual Rockstar is seeking a Medical Virtual Assistant to support our client s clinical and administrative operations. The ideal candidate has a strong background in healthcare support excellent organizational and communication skills and a high level of empathy when working with patients in a mental health setting.

Responsibilities
Scheduling & Patient Coordination
Manage appointment calendars and confirm patient appointments
Respond to patient inquiries via phone and email with professionalism and empathy
Assign appointments from intake forms and manage waitlists
Coordinate telehealth appointments and handle appointment rescheduling
Ensure all required documentation is complete and credit card details are on file
Provide virtual assistance to patients including directions updates and basic support
Patient Records & Communication
Maintain and update electronic medical records
Send treatment plans exercise instructions and follow-up communications
Manage document preparation email routing and general correspondence
Contact patients post-session to gather feedback or provide updates
Administrative & Insurance Support
Verify insurance coverage and update patient files accordingly
Obtain pre-authorizations and explain benefits to patients
Liaise with insurance companies to resolve claims and clarify coverage
Assist patients with insurance-related questions
Support billing processes by maintaining documentation and tracking systems
Prepare reports support internal teams during high-volume periods and help ensure compliance with HIPAA and industry standards
Experience in a medical office mental health practice or similar healthcare environment
Experience with scheduling systems billing workflows and telehealth coordination
Strong understanding of insurance verification claims submission and payment posting
High-level communication skills both written and verbal
Proficient in tools such as Valant (EHR) Waystar (clearinghouse) Outlook Excel and other scheduling and insurance portals
Strong organizational skills and the ability to manage multiple tasks remotely
HIPAA awareness and commitment to patient confidentiality
Work Requirements
Reliable remote work setup
