About the Role

Job Description

As an Onboarding Officer youll play a critical role in ensuring employees and subcontractors across the Utilities Services business are fully onboarded into both Service Stream and client systems. This includes compliance with all applicable regulations and standards across health and safety environment legal and quality domains.

Working closely with our operational teams youll help drive effective resource allocation and availability across all contracts supporting the full program lifecycle in a fast-paced high-performance environment.

Nature of position: Permanent Full Time

Location: Melbourne - 655 Collins St

Reporting Line: Compliance Manger - Network Services

Key responsibilities

  • Manage and maintain accurate records of subcontractor details including accreditations insurances inductions and OH&S documentation ensuring full compliance prior to deployment.
  • Validate and update subcontractor documentation with precision and attention to detail.
  • Actively follow up with subcontractors to collect outstanding documentation ensuring timely resolution of compliance gaps.
  • Monitor and implement updates from the Governance team ensuring all onboarding and compliance processes align with relevant Australian industry standards.
  • Accurately enter and manage data across internal systems and client platforms.
  • Prepare and manage professional correspondence to support clear and effective communication.
  • Support the day-to-day functions of the Resource Optimisation team particularly recruitment and onboarding activities.
  • Maintain a well-organized and current digital filing system in line with best practice and audit requirements.

Experience required

  • Minimum of 2 years experience in an administrative or compliance support role.
  • Advanced computer literacy particularly with Microsoft Office Suite (Word Excel Outlook) Adobe and internal database systems.
  • Strong organisational skills and exceptional attention to detail.
  • Ability to work autonomously and as part of a collaborative multi-disciplinary team.
  • Adaptable and proactive with the ability to prioritise effectively and respond to changing demands.
  • Strong problem-solving skills and the initiative to identify and resolve issues independently.
  • Excellent interpersonal and communication skills with a team-first attitude.
  • Demonstrated understanding of business operations including the ability to identify risks and opportunities.
  • Understanding of or exposure to the Utilities industry highly desirable
