Summary:
The Document Specialist works closely with the Finance & Insurance (F&I) team to organize verify and prepare deal paperwork for submission to the billing department and banks. This role ensures accuracy and compliance in all documents supporting a smooth and timely funding process.
Duties and Responsibilities:
- Review and compile all required documents from the F&I team for each vehicle sale.
- Ensure deal jackets contain all necessary paperwork for funding including contracts titles payoff info and supporting documents.
- Double-check for missing signatures incorrect figures or compliance red flags before submission.
- Maintain a checklist to verify documentation is complete and meets dealership and lender requirements.
- Communicate with F&I managers regarding any discrepancies or missing items.
- Submit completed deal files to the billing clerk for processing and bank funding.
- Scan and upload deal documents into the DMS and digital filing systems.
- Organize physical and electronic records to ensure easy retrieval and audit readiness.
- Assist with month-end closeout by ensuring all deal files are complete and processed.
- Support the office and F&I department with general administrative tasks related to deal compliance and documentation.
Qualifications :
- 1 year of administrative related experience in an automotive dealership.
- Strong attention to detail and organizational skills.
- Familiarity with deal paperwork titling or F&I processes.
- Ability to prioritize and work efficiently under deadlines.
- Comfortable working with computers scanners and dealership software (e.g. CDK Reynolds & Reynolds Dealertrack).
- Some Saturdays will be required for Month-End close out.

- All applicants must be able to demonstrate ability to pass pre-employment testing to include background checks MVR drug test credit report and valid driver license.
Preferred Qualifications:
- Previous experience working directly with F&I billing or title clerks in an automotive setting.
- Understanding of lender documentation requirements and funding guidelines.
- Experience auditing or reviewing automotive deal jackets for compliance.

- Must be willing to stay late on occasion to finalize paperwork when deals are completed near or after normal closing hours.
