The Contract Compliance Coordinator provides critical support to the FER-PAL Construction USA LLC Contract Compliance Manager for North America assisting with all phases of the contract lifecyclefrom bidding and proposal development through execution and archiving. This role involves a high level of confidentiality and requires strong organizational technical writing and time-management skills. The coordinator will manage compliance requirements across multiple projects with varying timelines and support internal teams with a strong focus on quality accuracy and deadline adherence.
Work Location & Hours:
On-site position (not hybrid or remote)
Preferred office hours:
8:00 AM to 4:30 PM or
8:30 AM to 5:00 PM (Monday to Friday)
Flexibility to work beyond regular business hours may be required to meet critical bid submission deadlines
Vacation approval is contingent upon current bid and contract activity levels
Key Responsibilities:
Track and manage proposal deadlines submission requirements and delivery logistics;
Research and analyze compliance requirements of prospective clients; assist in developing internal programs to meet those requirements
Participate in bid strategy discussions and proposal planning meetings
Support the development of proposal content in line with RFP/RFI ensuring corporate materials align with company branding and messaging into a polished high-quality and cohesive proposal document
Assist with development and submission of RFQ submissions
Collaborate with the Project Team to complete contract compliance documentation as needed
Support and coordinate disadvantaged business enterprise (DBE) participation initiatives and solicitation efforts
Coordinate logistics for hand-delivery of physical bid submissions when required
Maintain accurate and up-to-date records of bids submitted and results received
Liaison with internal departments to align policies procedures with the contract specifications for awarded projects
Support internal and external audits by maintaining thorough and organized contract compliance documentation
Required Qualifications:
Minimum 2-3 years of experience in proposal preparation or contract compliance
Strong technical writing skills
Demonstrated ability to work in a fast-paced deadline-driven environment
Advanced proficiency in Microsoft Word Excel and PowerPoint
Post-secondary education in business marketing communications or a related field is considered an asset
Excellent organizational skills with a high attention to detail
Ability to work collaboratively across departments and with external stakeholders
