POSITION PURPOSE

The Project Coordinator works with the project team to disburse information to the customer and other Sunland divisions as needed. Oversees the project subcontractor agreements folders tracking and reporting of the Divisions daily activity and coordinates this activity with customers and Division employees. This position assists with preparing and submitting monthly billings to the customer in a timely manner. The Project Coordinator also completes several administrative tasks for the Division.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Employee shall perform all duties and responsibilities with Sunlands Core Values at the forefront.
  • Must be an advocate of safety and follow safety policies and procedures.
  • Responsible for coordinating project information with Project Engineers and Project Managers.
  • Prepare and monitor subcontractor agreements for projects.
  • Attends weekly department meetings.
  • Coordinates communications between customers and departments including preconstruction meetings and addressing questions problems and requests.
  • Receives prepares and transmits work packet and budget assignments for subcontractor jobs from Superintendents onto project tracking forms.
  • Support Project Engineers and Project Managers with submitting project certifications to customer.
  • Reviews initial job cost reports and attends division job cost meetings.
  • Prepares and submits monthly progress billings/invoices to customers.
  • Maintains and updates revenue tracking process.
  • Communicates job completion dates to Accounting and Sales.
  • Acts as liaison between own division/supervisor and other departments divisions and external contacts.
  • Manages material and subcontractor invoicing process including coding and routing for Superintendents Project Engineers and Project Managers.
  • Maintain project folders.
  • Attend weekly project meetings.
  • Works with the Safety Department and Superintendents to ensure employees have appropriate Personal Protective Equipment (PPE) available to them.
  • Act as point of contact for Division employees.
  • May perform basic administrative and clerical functions which may include filing copying scanning binding reports prepare project letters to customers etc.

  • This position is considered a safety-sensitive position and is subject to the companys drug and alcohol policy as well as all OHSA

  • Serves as a safety ambassador by complying with federal state and local laws as well as Company safety policy enforces safe work practices and proactively identifies and remedies worksite

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • This position operates at professional construction sites and in professional office environments requiring the uses of standard office equipment the ability to communicate verbally with others on site in person and over the telephone ability to read printed materials signs computer screens and directions stamina to maintain attention to details despite interruptions ability to lift push pull carry handle or feel objects supplies tools machinery and/or controls weighing up to 50 pounds and reach with hands and arms; climb stairs and/or ladders; balance bend stoop kneel crouch crawl lift overhead traverse around or otherwise position ones self around the required work and safety requirements to navigating and perform activities on various construction sites in a safe
  • Will be required to work on project sites and operate vehicles trailers machinery equipment and other tools within local state and federal safety
  • Will be required to work outside frequently for long periods of time in all weather including extreme hot and cold
  • While working the employee might be exposed to various chemicals vapors pollutants virus or other air-borne pathogens gases uneven surfaces loud noises moving vehicles or machines and dust/debris.

MINIMUM QUALIFICATIONS

Education and Work Experience

  • High School Diploma or GED required Four (4) year degree a
  • One (1) to three (3) years industry administrative and/or dispatcher experience
  • Strong computer written and oral skills
  • Knowledge of DOT rules and regulations.
  • Strong critical thinking skills
  • Must be fluent in English i.e. must be able to speak read and write

Certifications Licenses and Registrations

  • Passing a pre-employment drug and alcohol screening and background check is required.
