Amherst-Pelham Regional Public Schools

Job Title: PK12 Registrar
Supervisor: Superintendents Office through the Division of Student and Family Engagement

Contract Length: Full Year
Job Classification: Non-exempt
Pay Grade: H

Job Summary

The PK12 Registrar is responsible for managing all aspects of student enrollment records and data systems across PreK12 schools. This role requires a high level of professionalism confidentiality and accuracy along with strong interpersonal and technical skills. The Registrar serves as a liaison among students families school staff and external agencies to ensure the integrity and security of student records and compliance with district state and federal regulations.

Essential Duties and Responsibilities:

Enrollment Withdrawal and Attendance

  • Coordinate and process all student enrollments and withdrawals ensuring required documentation is collected and accurate.

  • Verify residency and eligibility for enrollment.

  • Provide support and information to families regarding enrollment procedures.

  • Liaise with families regarding school choice homeschooling and dual enrollment.

  • Generate and distribute attendance and enrollment reports (weekly/monthly).

  • Track absences and communicate follow-up as needed (e.g. 10 day absence letters).

  • Schedule intake meetings and coordinate with counselors ELL and other support staff.

Student Records and Cumulative File Management

  • Create maintain and audit cumulative files in accordance with student record-keeping laws and school procedures.

  • Process internal and external requests for records including transcripts and enrollment verifications.

  • Ensure the security and confidentiality of student records in compliance with the Family Educational Rights and Privacy Act (FERPA).

  • Prepare documents for audits and ensure files are ready for review.

Student Information System Management

  • Manage and maintain accurate student data in PowerSchool and other district systems.

  • Ensure timely data entry for new student information and transfers.

  • Update student schedules courses and grades.

  • Communicate the restraining order and custody documentation to the appropriate staff.


High School Transcript Management (Grades 912)

  • Process transcript requests including fee collection and mailing.

School Choice Liaison for the district

  • Oversee and manage all aspects of the School Choice program across the Amherst Pelham and Amherst-Pelham Regional School Districts including state reporting compliance application processing and family communication.

School Attending Report

  • Responsible for state and district reporting requirements for the Amherst Pelham and Amherst-Pelham Regional School Districts. Duties include timely completion and submission of mandated reports to the Massachusetts Department of Elementary and Secondary Education (DESE) including Special Education School Choice and other compliance-related reports.

General and Administrative Duties

  • Assist families with registration-related inquiries and paperwork.

  • Provide administrative support for student and family engagement events.

  • Coordinate communication between families and school offices.

  • Prepare materials for registration drives especially for Kindergarten.

  • Assist with staff technology work orders and data system usage as needed.

  • Perform additional duties as required by the Superintendent or supervisors.

Minimum Qualifications

  • High school diploma or equivalent; additional education preferred.

  • Three to five years of relevant experience.

  • Proficiency with Microsoft Office Google Suite and student information systems.

  • Familiarity with FERPA and Massachusetts student record regulations.

  • Ability to establish positive and effective working relationships with staff students and families.

  • Strong attention to detail organizational skills and confidentiality.

  • Bilingual in English and Spanish preferred.

Working Conditions & Physical Requirements

  • Ability to sit stand bend stoop and reach overhead for extended periods.

  • Ability to lift up to 25 pounds.

  • Duties are typically performed in a school and office environment.
