Job Description

Administrative Specialist Part-time 20 hours

Support Local Libraries and Strengthen Community Connections

Are you someone who takes pride in being reliable organized and helpful behind the scenes Do you enjoy keeping things running smoothly and supporting a team that serves the community every day Arapahoe Libraries is hiring a Part-Time Administrative Specialist (Monday through Friday 8 AM to 12 PM) to provide essential support for two of our rural library locations. You will help staff deliver welcoming efficient and consistent service to local residents.

This role is ideal for someone who enjoys variety in their workday and doesnt mind a bit of driving. Whether you are coordinating supplies for a meeting making a quick bank deposit or supporting staff at both branches your flexibility and dependability will help keep everything on track.

About the Role

As an Administrative Specialist you will work closely with the Library Supervisor and Library Manager to support day-to-day branch operations. Your role will include everything from managing purchases and tracking budgets to organizing workspaces and coordinating local vendors. Your support will ensure that operations run smoothly and staff can focus on serving the community.

Key Responsibilities

Administrative Support

  • Track and report budget expenditures using district software
  • Process credit card receipts purchase orders and invoices
  • Communicate with vendors place orders and follow up on deliveries
  • Maintain supply inventories organize storage spaces and manage distribution
  • Guide staff through continuing education requests and reporting
  • Operational Support
  • Gather operational data track work orders and assist with internal reporting
  • Troubleshoot basic technology issues and coordinate with service vendors
  • Handle cash receipts prepare deposits and reconcile accounts
  • Schedule and support internal meetings and events including food coordination and note taking
  • Organize signage shelving and workspace layouts
  • Act as a liaison with other departments vendors and administrative staff
  • Travel regularly between two library branches to provide consistent support
  • With supervisor approval up to 10 percent of work may be done remotely

What Youll Bring

Experience: At least one year of related experience such as administrative support library service or customer service

Tech Savvy: Intermediate proficiency with Microsoft 365 (Word Excel Outlook) along with comfort using Teams Edge and learning new systems

Dependability: You are reliable adaptable and thrive in an environment with shifting priorities

Attention to Detail: You are organized accurate and thoughtful in your work

Communication: Strong verbal and written communication skills

Customer Service: Effective interpersonal skills to support staff vendors and community members

Transportation and Flexibility: Requires dependable transportation for local errands deposits and on-site support at two rural locations

Preferred: Experience with accounting or budgeting software
