About the role:
We are seeking a highly organised proactive and resourceful Executive Assistant to join the team on a 12-month maternity cover. This role provides executive-level support to ensure the smooth and efficient operation of the executives schedules and daily business activities.
Deliverables:
Manage and optimise complex calendars meetings and travel arrangements.
Provide high-level administrative support including arranging building access printing and room bookings etc.
Handle incoming communications and correspondence (emails calls letters).
Liaise with internal and external stakeholders on behalf of the executives.
Manage confidential and sensitive information with the utmost discretion.
Collaborate effectively with other Executive Assistants across the Octopus Capital business to support visiting team members company events and initiatives fostering a unified team approach.
Maintain filing systems (digital and physical) and ensure organisational compliance with internal policies.
Supporting the Senior Leaders in the seamless delivery and execution of their objectives by taking the initiative to solve challenges and proactively making offers of help tracking key tasks arising from meetings taking minutes chasing up minutes and action points.
Qualifications :
Ideally youll have some or all of the following qualifications skills and job-related experience:
Proven experience as an Office Manager Executive Assistant or similar role.
Excellent organisational and time-management skills.
Strong written and verbal communication skills.
High proficiency in Microsoft Office (Word Excel PowerPoint Outlook).
Ability to multitask prioritise tasks and meet deadlines.
Discretion and confidentiality are essential.
