Job Description

Job Summary

The Assistant Student Services is the first point of contact for the Student Affairs offices. The Assistant provides front line reception and assistance while maintaining an inclusive welcoming and accessible environment for all UFV students staff faculty and the public.

The Assistant screens and prioritizes requests provides general information about UFV supports and services and manages appointment schedules for students seeking support and/or services within the department.

In addition the Assistant Student Services plays a crucial role in supporting students experiencing distress conflict or crisis situations. The Assistant takes initiative provides compassionate support and makes informed decisions within the scope of their role to connect students with the appropriate resourcesall while maintaining sensitivity to time constraints professional boundaries and confidentiality.

Qualifications

  • Completion of a one-year certificate in office administration from a recognized post-secondary institution.

  • Minimum of three (3) years experience providing reception and information services.

  • Intermediate to advanced knowledge and ability using Microsoft Office applications.

  • Excellent accuracy and attention to detail.

  • Experience using appointment booking software or other customer relationship management (CRM) programs is preferred.

  • Experience using UFV-specific applications (e.g. Ellucian Banner Accommodate Achieve Point and Click) is preferred.

  • Must be experienced in working with the public and have proven interpersonal and communication skills.

  • Proven ability to collaborate and work as a member of a team.

  • Ability to multi-task in a fast-paced and often stressful environment and make appropriate decisions with minimal supervision.

  • Must be sensitive to and have experience serving diverse populations.

  • Solid understanding of confidentiality ethical guidelines professional accountability and Freedom of Information and Protection of Privacy Act (FOIPPA) regulations.

  • Knowledge of post-secondary education systems in BC is preferred.
