JOB DESCRIPTION:

The National Aquarium is seeking an Individual Giving Specialist to support the daily operations of the Philanthropy department with a focus on Membership and Individual Giving programs. This role is responsible for managing fulfillment of acknowledgements providing customer service and office support coordinating volunteer activities and organizing donor tours and experiences. The Specialist ensures exceptional service for Aquarium guests members donors and partners. This position also works closely with Administrative Services to support key office functions in the Candler Building.

The Individual Giving Specialist reports to the Director of Membership.

KEY REQUIREMENTS:

Membership & Individual Giving Support

  • Process and maintain daily membership fulfillment reports and related records.
  • Prepare and print membership acknowledgements and cards in a timely manner.
  • Respond to and direct incoming requests including contact updates record and service adjustments tax receipts and other correspondence.
  • Manage returned mail and updates contact information in relevant databases.
  • Monitor inventory levels and coordinate the reordering of office supplies as assigned.
  • Activate and maintain staff and volunteer memberships responding to related requests.
  • Support data entry and account maintenance in Galaxy and Salesforce.
  • Assist with other Philanthropy events activities and special projects as needed.

Customer Service

  • Monitor and manage the member/customer service inbox to ensure timely responses to inquiries comments and guest feedback.
  • Respond to all inquiries with professional responses that address concerns resolve issues and provide accurate information.
  • Prioritize incoming messages escalating sensitive or urgent issues to appropriate manager or department for immediate attention.
  • Maintain canned responses to commonly asked questions to ensure consistent communication.

Philanthropy Volunteer Support

  • Coordinate and prepare weekly office tasks and projects for Individual Giving volunteers.
  • Provide orientation and training to ensure understanding and completion of tasks.
  • Maintain volunteer schedules to ensure office coverage

Candler Mail & Office Support

  • Collect and distribute all incoming mail to Philanthropy staff from Candler mailroom.
  • Collect and meter all outgoing Membership and Philanthropy
  • Sort all incoming mail packages to Candler office staff mailboxes.
  • Monitors and maintains postage meter levels with Operations
  • Acts as backup to Administrative Services on an as needed basis for suite entry coverage.

Tours & Experiences Coordination

  • Serves as liaison between Individual Giving Officers and the Tours & Experiences team to coordinate Philanthropy donor tour scheduling.
  • Coordinates and communicates all tour details including schedules participant information and special requests to relevant stakeholders.
  • Maintains accurate records and promptly communicates updates or changes to all parties.
  • Other duties may be assigned commensurate with experience and need.

QUALIFICATIONS:

  • 2-3 years of experience working in an office environment or customer facing role.
  • Bachelors degree or equivalent work experience.
  • Highly organized and self-directed with keen attention to detail.
  • Ability to complete tasks independently and contribute as part of a larger group.
  • Ability to meet deadlines and prioritize tasks while maintaining quality.
  • Ability to identify errors problem solve and implement solutions effectively.
  • Proficiency in Microsoft Excel manipulating large data sets formulas and basic functions.
  • Proficiency in Microsoft Office tools including Word Outlook Teams/Zoom.
  • Proficiency in databases data entry and basic math competencies.
  • Professional demeanor with strong written and verbal communication skills.

Total Compensation Information

Hourly range: $17.20-21.87with hours worked over 40 paid as overtime holiday premium pay and extra pay for night work.

National Aquarium provides an excellent benefits package including four weeks paid time off six paid floating holidays up to four weeks of paid family leave and conservation day leave. Employees are eligible for health care (single and family) after 30 days of full-time work and 401(k) plan participation with employer match available. Employees receive a family membership package and Aquarium tickets.
