Job Description

Title:Administrative Assistant - Native American Program (one year only)

JOB DESCRIPTION:

Assist department heads in administration and documentation by composing preparing and assembling materials including those of a confidential nature. Maintain databases pertinent to area of assignment. Greet visitors; answer screen and direct calls within department.

QUALIFICATIONS:

  1. Education and/or experience equivalent to a High School diploma or GED
  2. One (1) year of general office secretarial experience

ESSENTIAL FUNCTIONS: (Essential functions as defined under the Americans with Disabilities Act may include any of the following tasks knowledge skills and other characteristics. This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all duties and responsibilities performed by incumbents of this class.)

DUTIES AND RESPONSIBILITIES:

  • Welcome visitors screen phone calls schedule appointments and set meetings as needed.
  • Distribute department mail purchase orders reports forms and confidential information.
  • Assist department with various clerical tasks as needed.
  • Complete special projects for administrators.
  • Perform other duties as assigned.

KNOWLEDGE SKILLS AND OTHER CHARACTERISTICS:

  • Knowledge of general office practices and procedures
  • Knowledge of computer software applications and databases pertinent to area of assignment
  • Knowledge of researching information and preparing preliminary summaries of such
  • Knowledge of file maintenance/record keeping practices and principles
  • Knowledge of public relations/customer service practices and procedures
  • Skill utilizing written and verbal communication in the development of correspondence materials and reports
  • Skill utilizing public relations/customer service techniques when responding to requests inquiries and complaints
  • Skill accurately entering updating reviewing and researching databases for information pertinent to area of assignment
  • Skill maintaining confidentiality
  • Skill establishing and maintaining effective working relationships
