The Carver College of Medicine University of Iowa Physicians (UIP) is looking fora Program Coordinator to coordinate and support operations of the University of Iowa Physicians (UIP). This may include coordination of UIP initiatives reviewing policies procedures or practices collecting data and facilitating recommendations for quality or operational improvements that enhance clinical operations for the providers. The coordinator must be proactive and collegial in collaborations with leaders throughout the health care enterprise to achieve program goals and initiatives. This position may be eligible for a hybrid work arrangement within Iowa after the completion of an onsite orientation period. If approved for hybrid work the majority of work will take place on the University of Iowa campus.

Duties to include:
Operational and Financial Management
Collaborate with UIP leadership and department administrators to identify areas/projects to assess using process improvement techniques.
Examine the employment experience for providers from recruitment to exiting the organization and identify opportunities for improvement such as but not limited to:
- Seek feedback and insights from candidates on their recruitment and onboarding experience. Summarize and provide feedback to the departments and strategize on improvements.
- Partner with the Clinical Staff Office (CSO) on the credentialling and privileging processes to increase efficiencies of Credential Stream.
- Develop systems to escalate credentialling and privileging activities through continued support of new hires as they are beginning applications for Iowa licenses and other required activities for onboarding.
- Develop tracking system to assess length of time to complete recruitments identify bottlenecks in overall process or within department procedures. Identify and share recommendations to improve processes.
- Analyze provider results from the annual engagement survey at an enterprise level and local department. Partner with respective leaders to review results and identify potential action plans to increase engagement.
- Conduct in-person exit surveys with providers leaving the organization to gain feedback on their overall employment experience why they are leaving and how work environments can be improved.
- Summarize and share exit interview results at an enterprise and department level with respective leaders. Strategize how to use the results to improve the work experience and environment for providers.
Recruitment Consultant
- Serve as consultant to departments or programs to evaluate current processes and practices to recruit and hire clinical providers. Assist in developing a roadmap to meet recruitment goals .
- Collaborate with a department or program to develop best practices to maximize the candidates interview experience including itineraries that include meeting with departmental and institutional faculty and leaders and provide opportunities for engagement with community leaders and resources (such as realtors social organizations and other local partners engaged in recruiting professionals to the area).
- Provide assistance as requested in recruitments involving a dual spouse/partner.
- Liaison with search firms involved with identifying candidates as needed.
Financial Management
- Develop budget proposals for review and approval as requested. Identify and prioritize budget and resource needs.
- Monitor accounts and expenditures; authorize payments and reconcile financial statements.
- Provide assistance to departments as requested.
Communication and Outreach
- Relationship Building
- Develop and maintain positive relationships with key internal and external stakeholders candidates and organizations.
Strategic Planning
- Assist in the preparation and coordination of strategic plans in support of UIP initiatives. Serve as liaison to UI Health Care departments and administrative units.
Compliance
- Assure compliance with all applicable federal state and university regulations.
Quality Improvement and Data Metrics
Leadership/Supervision
- Provide direction coordination and feedback to assure outcomes are achieved.
Required Qualifications:
- A bachelors degree or an equivalent combination of education and experience is required.
- Minimum one-year administrative or program coordination experience.
- Experience developing a new program or service.
- Exceptional communication skills (verbal written listening) with ability to quickly build relationships and trust with a variety of constituents.
- Ability to function in a fast-paced environment with multiple stakeholders and project targets.
- Outstanding organizational skills and a high attention to detail and standards.
- Must be proficient in Microsoft Office applications.
- Valid U.S. drivers license and eligibility to operate motor vehicles under University of Iowa standards.
- Must be flexible to the needs of the position by attending meetings functions or events outside of normal working hours.
Desirable Qualifications:
- Experience working in higher education or academic medicine.
- Experience in human resource activities
- An understanding of health care systems and working with health care professionals especially licensed physicians.
- Ability to foster a welcoming and respectful work environment.
- Knowledge of University of Iowa policies and procedures.
