QUALIFICATIONS:
- BachelorsDegree in Office Administration and/or a minimum of 5 years of management-level office experience with school office experience preferred.
- Expert knowledge of computers and software applications especially the Microsoft Office Suite and Google Apps.
- Ability to handle confidential information.
- Experience with supervision of personnel.
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
- Responsibility of employee to obtain and maintain all training(s) certificate(s) approval(s) etc. and provide documentation to the business office before expiration date of said document(s).
- Must be able to lift up to 20 pounds.
- Required to have a physical presence at the designated job site each scheduled work day.
- Must have regular and reliable job attendance performance and the physical ability to do the job.
RESPONSIBILITIES:
- Provide guidance and leadership to the Superintendent.
- Provide leadership as the primary point of contact on all matters pertaining to the Office of the Superintendent.
- Plan coordinate and maintain an up-to-date schedule for the Superintendent.
- Work closely and effectively with the Superintendent to keep him/her well informed of upcoming commitments and responsibilities following up appropriately.
- Communicate accurately and effectively with other ISD department directors staff board members district superintendents families and the community.
- Serve as the Superintendents administrative liaison to the ISD Board of Education.
- Direct supervise and evaluate the front desk office assistant including coordination of work schedules and office procedures facilitation of regular meetings and approval of weekly timesheets for payroll.
- Facilitate monthly office assistant meetings
- Assist and answer office assistant questions as needed.
- Maintain up-to-date knowledge of the requirements for special education permits and approvals for the ISD to ensure state and federal reporting requirements are met.
- Act as pupil accounting county auditor.
- Provide pupil accounting support to county staff as authorized by board policy administrative regulations and contractual agreements. Assume responsibility for results of duties delegated to staff.
- Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters including distribution of meeting materials and other communications.
- Coordinate the biannual election of board members in conjunction with the County Clerk as required by state law.
- Participate as an active member of the ISD Administrative Team including coordination of meeting agendas accurate meeting notes and follow-up on items requiring further action.
- Assist the County Superintendents Association with coordination of meetings communication and other projects as required.
- Research prioritize and follow-up on a wide variety of topics and special projects including those of a sensitive or confidential nature to successful completion within the required timelines.
- Gather and maintain knowledge of the requirements for state reporting pupil accounting and pupil auditing includinglegal mandates and administrative rules related to school aid funding.
- Participate in meetings workshops and seminars for the purpose of gathering information required to perform functions associated with pupil accounting and auditing.
- Coordinate the Section 25e state reporting process related to students who transfer between districts between the count days.
- Coordinate the annual audit of the Graduation and Dropout (GAD) Application to ensure state and federal reporting requirements are met.
- Coordinate the Schools of Choice program in St. Joseph County to ensure compliance with requirements in the State Aid Act.
- Manage the truancy process for the ISD and local districts in collaboration with county courts and law enforcement.
- Provide assistance to the County School Board Association as requested.
- Maintain an updated County School Board Association Directory.
- Manage and organize countywide School Board Association meetings in conjunction with the SBA Executive Committee.
- Assist and back up the SCECH Coordinator as needed.
- Assist and back-up other ISD office assistants as needed.
- Perform other duties as assigned by St. Joseph County ISD Administration.

TERMS OF EMPLOYMENT: This is a 260-day position. Salary and other conditions of employment established by the Board of Education.
