We are a growing real estate team managing a portfolio of short- and mid-term rental properties across the United States. Our mission is to deliver seamless property operations and exceptional guest experiences. To help us scale we re hiring a proactive and reliable Executive & Operations Assistant who can take ownership of day-to-day tasks and support both our administrative and property management functions.
About the Role
This is a dynamic and high-trust position supporting the founders directly. You ll help manage a broad range of responsibilities from inbox and calendar management to property operations and vendor coordination. We re looking for someone who is resourceful detail-oriented and capable of working independently without constant oversight.
Key Responsibilities
Manage emails calendars and scheduling
Support operations for short- and mid-term rentals (e.g. Airbnb guest communications turnovers)
Coordinate with vendors and ensure timely payments
Assist with financial tasks including invoice management and expense tracking
Provide administrative support for real estate activities (e.g. updating CRMs listing coordination)
Execute and improve recurring operational workflows
Perform general administrative duties as needed
What We re Looking For
4 to 8 years of experience in executive assistance operations or property management
Strong organizational skills and ability to prioritize without oversight
Experience in real estate short-term rentals or hospitality is preferred
Fluent English communication skills with minimal accent (spoken and written)
Comfortable working U.S. business hours especially Eastern Time
Based in Latin America or South Africa
Preferred Tools & Skills
Familiarity with Google Workspace project management tools (e.g. Asana Trello) communication tools (e.g. Slack) and financial software (e.g. QuickBooks Wave) is helpful
Strong problem-solving mindset and willingness to take initiative
