We are seeking a proactive and detail-oriented Manager to lead our Specimen Support Department which is responsible for the receipt verification and routing of patient specimens for clinical testing. While laboratory experience is not required the ideal candidate will have a strong background in managing high-volume process-driven teams in regulated environments such as call centers healthcare intake logistics or customer operations and a passion for leading people and ensuring high-quality service delivery.
This role is crucial in maintaining specimen integrity ensuring timely processing and supporting our lab teams in delivering accurate and reliable patient results.
Key Responsibilities:
- Oversee daily operations of the specimen intake and processing team to ensure timely and accurate handling of specimens.
- Supervise train and coach staff to achieve high levels of performance accuracy and service.
- Monitor staffing levels workflows and priorities to ensure all specimens are processed within turnaround time (TAT) requirements.
- Collaborate with lab teams couriers IT and client services to ensure smooth handoffs and address any specimen-related issues.
- Maintain and improve departmental SOPs training documentation and performance metrics.
- Ensure compliance with applicable regulations and internal quality standards (e.g. FDA CLIA ISO).
- Lead process improvement initiatives to increase efficiency accuracy and staff engagement.
- Manage scheduling timekeeping and performance evaluations for team members.
Qualifications :
- Bachelors degree in business healthcare administration operations or a related field.
- Minimum 35 years of supervisory or management experience in a high-volume process-driven environment such as:
- Call center or customer support operations
- Healthcare intake/registration
- Logistics or distribution
- Pharmaceutical or regulated manufacturing
- Strong understanding of workflows staff scheduling performance monitoring and quality assurance.
- Experience working in or alongside regulated environments (e.g. HIPAA ISO FDA or similar).
- Demonstrated ability to lead and motivate teams resolve issues quickly and manage competing priorities.
- Comfort with technology and systemsexperience with data tracking platforms ERP or workflow management tools is a plus.
- Exceptional communication organizational and problem-solving skills.

- May require occasional weekend or holiday coverage based on business needs.
