Job Description

This role reports directly to the General Manager and provides Executive Assistance support to the CEO. This is a critical role with responsibility for managing the calendar of the CEO and a wide variety of administrative tasks involving sensitive and highly confidential information. This position will liaise with individuals at all levels of the organization including visitors to the site where discretion and confidentiality is a key requirement.

Duties and Tasks

  • Provide administrative and logistical support to the CEO.
  • Planning implementation and coordination of administrative processes such as meetings events and customer visits.
  • Be responsible for coordinating travel for visitors and customers.
  • Manage visitor accommodation.
  • Responsible for hospitality and scheduling room bookings for visitor and customer meetings.
  • Be the main point of contact for all guests to the facility including booking lodging transportation and other amenities.
  • Manage vendors supporting the maintenance of office equipment facility services cleaning services etc.
  • Manage projects as assigned by the site General Manager
  • Other duties as assigned.

Qualifications :

  • Education.  Diploma or equivalent is preferred.
  • Experience.  A minimum of 2 years of experience in an administrative or office management role is required. Must be proficient in the Microsoft Office suite of applications.
  • Adaptability.  Ability to work in a fast-moving environment and make decisions under pressure. Comfortable leading change.
  • Customer Centric.  Provides clarity and responsiveness to customers and partners (internal and external).  Understands the customers underlying needs and problems. Excellent communication and presentation skills.
  • Leadership. Self-motivated and comfortable taking on responsibility. Demonstrable experience of breaking down and resolving challenging technical problems.
  • Collaboration. Understands the importance of and has the ability to communicate effectively.
  • Decision Making.  Makes clear timely decisions and gives explicit and clear guidance.  Decisions are focused on increasing or improving the companys options and are owned
  • Simplifies and Avoids Complexity.  Doesnt over-engineer solutions and stays focused on the problem being solved. Considers the impact of individual decisions across the organization.
  • Accountability.  Looks beyond what is good for the business.  Holds self and others to account.  Understands that no one can see the complete picture and values perspectives from across the business.
