Provides administrative support for a large division or college managing day-to-day operations and coordinating projects. Oversee office procedures communications and handle confidential information. Supports leadership with the preparation and submission of administrative processes. Interprets policies resolves complex issues and ensures deadlines and quality standards are met. May supervise staff or student workers.
Essential Duties and Responsibilities:
Serves as primary assistant to the Dean managing the calendars scheduling meetings and screening communications.
Prepares meeting materials and maintains official correspondence and records.
Assists with faculty review processes including tenure promotion evaluations and elections.
Maintains and updates personnel files and Deans Office databases; prepares reports as needed.
Acts as liaison between the Dean and internal/external stakeholders; ensures timely communication and adherence to university deadlines.
Provides support for department chairs and administrative staff; may train or mentor administrative personnel.
Coordinates data collection and reporting analyzes data and distributes mail and internal documents.
Serves as building captain for Evans Hall and handles other duties as assigned.
Qualifications/Experience Required:
Bachelors degree in a related field and 3 years of relevant experience or 7 years of equivalent professional experience.
Qualifications/Experience Preferred:
Experience in higher education.
Knowledge/Skills/Abilities:
Proficiency in Microsoft Office (Word Excel Access PowerPoint Publisher Outlook).
Demonstrates a technology-driven approach to administrative tasks utilizing digital tools and systems to enhance efficiency and accuracy.
Strong communication interpersonal and organizational skills.
Ability to manage multiple priorities work independently and handle confidential information.
Exercises sound independent judgment and discretion in decision-making.
Familiarity with university policies and academic processes.
Strong attention to detail discretion and professionalism.
Effective in team environments and across broad populations.
Capable of working under pressure and meeting deadlines.
