Description

This role is a highly detail-oriented Court Operations Associate position that requires a considerable amount of data entry and the application of sound quick independent judgment. This position provides high level customer service in person by email and over the phone and requires the ability to effectively manage competing demands simultaneously. A successful candidate must possess competent technical skills excellent communication organizational and problem-solving skills as well as other knowledge skills and abilities listed below.

Responsibilities

  • Perform the full scope of varied court clerical work involved in case processing in Family Court; utilizing MNCIS (court electronic case processing system) Electronic File and Serve DocuSign Microsoft Office Suite and related computer systems.
  • Accept and process all documents submitted through the Judicial Branch Electronic File and Serve (eFS) and verify that pleadings are complete and properly formatted and correct filing fees are submitted.
  • Review legal documents for completeness adequacy accuracy restricted identifiers and compliance with rules and/or statutes; determine processing required and take necessary action in accordance with court rules statutes and procedures.
  • Assure confidentiality in compliance with local state and federal statutes and court rules.
  • Initiate schedule notice and process petitions court orders and other documents filed with the court.
  • Assist at the public counter and on the phones respond to email inquiries process incoming and outgoing mail.
  • Perform financial activities within the office including calculating costs/amounts due/receipting; prepares and reconciles required statements and reports.
  • Assure completeness and accuracy of court records and assist Judicial Officers with access to documents or other information from court administration.
  • Provide courtroom support to Child Support Magistrates and Judicial Officers when law clerks are unavailable.

  • High school diploma or equivalent
  • One (1) year of relevant job experience or greater which may include but is not limited to customer service administrative work office and clerical work.

Knowledge Skills and Abilities

  • Knowledge of court procedures and policies laws legal terminology and legal factors pertaining to the court.
  • Knowledge of appropriate procedures for processing a variety of legal documents and for proper record imaging maintenance and retention.
  • Ability to adhere to the policies and procedures within Family Court particularly applicable rules statutes policies and procedures for access to records and document security.
  • Ability to read and comprehend rules statutes and legal documents of varying type and complexity.
  • Ability to communicate effectively and respectfully with a diverse group of court stakeholders judicial officers and MJB staff in person on the telephone by email and during courtroom proceedings as needed.
  • Ability to handle sensitive and confidential matters and case information appropriately and in compliance with all applicable court rules policies and statutes.
  • Ability to communicate concisely and clearly both orally and in writing as well as understand and follow oral and written instructions.
  • Ability to take direction well and maintain a professional and positive attitude through challenging circumstances.
  • Ability to perform court work both quickly and accurately and to focus on priority tasks while keeping track of multiple simultaneous duties.
  • Ability to learn and utilize electronic tools including electronic filing electronic document management eSignatures Microsoft Office ADOBE and MNCIS.

Preferred Qualifications

  • Advanced degree in the legal field such as AAS in Paralegal studies.
  • At least six months experience in a legal environment.

Working Conditions
Work is performed primarily in an office setting courtroom or at a public counter. Work involves contact with persons who may be angry abusive or threatening.

Physical Demands
Work is essentially sedentary with occasional walking standing bending and carrying items up to 25 pounds. Some assignments may require periods of extended sitting standing or computer use.

The deadline for bidding/internal application per article 14 of the collective bargaining agreement between the Minnesota Judicial Branch and AFSCME is June 30th 2025 at 11:55 p.m. Permanent non-probationary employees shall be eligible to bid on any vacancy in the Bargaining Unit for which they are qualified as determined by the Employer. In accordance with the AFSCME labor agreement a successful bidder shall serve a probationary period. Current AFSCME CAT represented employees must have served a minimum of six (6) months in their current position and be in good standing to be eligible to apply.

Rate of Pay
The expected hiring range for this position for external candidates is $22.50-$23.50/hour based on qualifications and experience.
