Job Description

In this Part-Time role (2030 hours per week) youll play a vital part in the behind-the-scenes magic-including overseeing staff and operations of Blackridge & the Ice Ribbon as well as supporting special event permits and the planning and execution of events. GENERAL PURPOSE

Perform a variety of administrative and manual duties to assist with City-sponsored events and park rentals. Oversee the seasonal staff and day-to-day operations of Blackridge Reservoir and the Ice Ribbon. Assist in facilitating Special Events Permits and oversee the Special Event Permit process. Receive oversight on most event projects but may oversee small aspects of events to plan and coordinate.

SUPERVISION RECEIVED

Receives direction from the Events and Recreation Manager but may receive oversight from higher-level Events and Recreation Technicians.

ESSENTIAL FUNCTIONS

  • Supervises and leads seasonal events staff and provides support with daily processes and procedures for the Ice Ribbon and/or Blackridge Reservoir. Assists with skate rentals and returns at Ice Ribbon. Ensures sufficient support and customer service for Ice Ribbon and Blackridge Reservoir.
  • Participates in interviewing and hiring staff for Ice Ribbon & Blackridge Reservoir
  • Oversees the staff scheduling through the online application for Ice Ribbon and/or Blackridge Reservoir
  • Provides training to seasonal staff in duties and responsibilities.
  • Assist in facilitating Special Events Permits and oversee the Special Event Permit process. Assists with and monitors special events to ensure that permit stipulations are followed.
  • Provides customer support for phone calls and walk-ins as needed.
  • Provides assistance and support at other City events as required. May help with scheduling and ensuring coverage at events and City facilities.
  • Assists with scheduling the City float in outside community parades.
  • Supports Herriman City volunteer committees including Friends of Herriman as needed.
  • Provides support for City events to create a safe efficient and fun atmosphere for customers and residents. Receives directions and oversight from other Events Technicians but may also be responsible for ensuring smaller aspects of events are completed.
  • May coordinate small events from start to finish including planning setup and takedown.
  • Participates in the setup and take down of event and recreation needs. Sees events through from start to finish and supports the department in creating successful events.
  • Assists at event booths and activities as needed.
  • Processes cash and credit payments for tickets reservations and/or services.
  • Assists with scheduling and coordinating parks City & partner playing fields playgrounds pavilions and arenas and explaining City policies and procedures including coordinating with sports leagues.
  • Assists in maintaining and keeping clean facilities (including restrooms & garbage) for events rentals and City activities as needed.
  • Conducts facility tours for prospective users when requested.
  • Monitors garbage during events to ensure it is emptied promptly.
  • Assists and works with all City departments as needed.
  • Assists with event and holiday decorations as requested. May make minor repairs and upkeep of decorations.
  • Performs all other duties as needed or assigned.

MINIMUM QUALIFICATIONS

Education:

  • High School Diploma or equivalent.

Experience

  • One (1) year experience in events support customer service or maintenance.
  • Experience with leading or managing a team.

OR

  • An equivalent combination of education and experience.

Certifications/Licenses:

  • None required.

Additional Requirements:

  • Must be at least 18 years old.
  • Must possess a valid Utah Drivers License
  • Must be able to pass a pre-employment drug test background check and driving record check.

PREFERRED EXPERIENCE

  • Entry level experience with event planning and coordination.
  • Experience with CivicRec Recreation software.
  • Ability to speak and understand Spanish.

KNOWLEDGE SKILLS AND ABILITIES

  • Ability to communicate effectively both verbally and in writing in English.
  • Knowledge of Microsoft Word and Excel.
  • Ability to communicate effectively with customers vendors and other departments and provides effective service.
  • Ability to develop an effective working relationship with the supervisor and co-workers.
  • Ability to work independently and in a team environment and adhere to timeline expectations.
  • Ability to work flexible hours and extra hours as required including holidays nights and weekends (including Sundays).
  • May occasionally require working longer than a ten (10) hour shift and being on-call.
  • Ability to operate a variety of light equipment such as golf carts.
  • Ability to lift and carry up to 50 lbs.

WORK ENVIRONMENT

  • Tasks require a variety of physical activities generally involving muscular strain such as walking standing stooping sitting kneeling and reaching. Talking hearing and seeing are essential to performing the required job functions.
  • Common eye hand and finger dexterity must exist. Mental application utilizes memory for details verbal instructions emotional stability discriminating thinking and the ability to maintain composure in adverse situations.
  • Proper use of hazardous chemicals is required.
  • Exposure to weather extremes and seasonal conditions.
  • Frequent local travel is required in the normal course of job performance.
