AI-Enabled Operations Specialist Remote Project

About the Role
As an AI-Enabled Operations Specialist you won t just maintain checklists you ll architect systems streamline workflows and launch automations that drive measurable impact. Working directly with executive teams you ll lead the design and implementation of intelligent scalable internal operations.
This is a part-time hands-on role for systems thinkers who thrive on turning chaos into clarity and inefficiencies into opportunity.
What You ll Do
Audit and optimize core systems (e.g. Notion GitHub Paddle Google Sheets Slack)
Build and maintain SOPs dashboards and documentation hubs in Notion
Automate workflows across teams using Zapier Airtable or similar platforms
Create dashboards that visualize KPIs team performance customer sentiment and financial metrics
Automate recurring reports: royalties payroll TrustPilot engagement metrics
Partner with leadership to scope and deliver workflow improvements in finance HR product and content ops
Identify and implement high-ROI AI tools for reporting content generation and internal ops
Manage knowledge transfer and documentation to ensure systems run smoothly without ongoing handholding
Milestones
30 Days:
Conduct operational audit
Launch 2 3 quick-win automations
Deliver workflow optimization roadmap
60 Days:
Launch dashboards and reporting pipelines
Standardize documentation templates and processes
90 Days:
Drive department-wide automation adoption
Measure and report on efficiency and throughput improvements
Key Performance Objectives (KPOs)
Number of manual hours saved through automation
System uptime and task execution accuracy
Executive and team satisfaction with delivered solutions
Consistent reduction in task cycle times or process errors
Requirements
3 years in operations systems design or workflow automation
Proven skills in Notion GitHub Slack Airtable Stripe Paddle ProfitWell
Expertise with Zapier or other low-code automation tools
Strong documentation communication and problem-solving abilities
Deep familiarity with API-driven thinking and no-code/low-code logic
Ability to explain technical solutions to non-technical stakeholders
At least 4 hours/day overlap with U.S. Eastern Time
Bonus Experience
SaaS billing royalty or payroll automation
Building or maintaining multi-app workflows
Prior experience in a startup fractional ops or consulting environment
Built an automation or bot that replaced a task you previously owned
